FINANCE & COLLECTIONS MANAGER
Xero | Australian Fashion Business | Day Shift
Salary: USD $450 per week
Hours: Full-time, Monday to Friday, aligned with Sydney business hours
Location: Remote — Philippines
Engagement: Long-term

ABOUT THE ROLE
Adminworks is recruiting a Finance & Collections Manager for an established Australian fashion wholesale and brand-management business.

This role is equal parts phone and spreadsheet.

You will own the day-to-day finance function across accounts receivable, accounts payable, invoicing, reconciliations, cash-flow forecasting and management reporting. Just as importantly, you will proactively call customers to collect overdue payments and build strong working relationships with them.

This is not a passive bookkeeping role. If your approach to collections is sending an automated statement and waiting, this role will not suit you.

We need someone comfortable picking up the phone, discussing overdue invoices professionally and persistently, and giving the Directors clear visibility over cash and financial performance.

WHAT YOU’LL BE RESPONSIBLE FOR
Accounts receivable and collections
- Proactively call Australian customers regarding overdue invoices and outstanding information.
- Build genuine customer relationships and understand how individual accounts pay and communicate.
- Resolve payment discrepancies and follow commitments through to completion.
- Maintain the debtor ledger and accurately allocate payments.
- Chase sales figures and other information needed for commission invoicing.

Finance operations
- Own the day-to-day finance function in Xero.
- Manage accounts payable, receivables and customer invoicing.
- Complete bank, credit-card, debtor, creditor and balance-sheet reconciliations.
- Manage month-end processes and coordinate with external accountants.
- Maintain accurate, current financial records.

Cash flow and reporting
- Maintain a rolling cash-flow forecast and identify potential issues early.
- Prepare clear weekly and monthly management reports.
- Report on written orders, invoiced sales, cash received, receivables, payables and expenditure.
- Track performance by brand, customer and market.
- Reconcile operational information from order placement through to delivery, invoicing and payment.
- Meet regularly with the Directors and explain financial performance clearly.

Systems and improvement
- Improve the structure and use of Xero, including accounts, tracking categories and reporting.
- Build practical Excel reporting, reconciliation and cash-flow templates.
- Identify opportunities to improve or automate finance workflows using technology and AI.

WHAT WE’RE LOOKING FOR
- At least five years of accounting, bookkeeping or finance experience.
- Experience owning the end-to-end finance function of a small or medium business.
- Advanced, hands-on Xero experience.
- Demonstrated experience collecting overdue payments by phone.
- Excellent spoken English and a professional, personable phone manner.
- Strong Excel skills, including pivot tables, XLOOKUP, SUMIFS, reconciliations and reporting templates.
- Experience preparing cash-flow forecasts and management reports.
- Confidence presenting financial information to business owners or senior leaders.
- Strong accuracy, organisation and follow-through.
- Reliable internet, backup connectivity and a quiet environment for customer calls.

HIGHLY REGARDED
- Previous experience supporting an Australian business.
- Familiarity with Australian GST and BAS processes.
- Experience in fashion, wholesale, retail, distribution or another product-based business.
- Experience with commission or agency revenue models.
- Accounting, finance or commerce degree, CPA or equivalent.
- Power Query, Power BI, finance automation or practical AI experience.
