JOB OVERVIEW

We are looking for an experienced Trades Virtual Assistant to support with scheduling, dispatching, job management, customer service, and administrative operations.

Key Responsibilities
Manage and update jobs using ServiceM8, Simpro, or AroFlo
Schedule appointments and efficiently coordinate field technicians
Prepare and send quotes, invoices, purchase orders, and work orders
Maintain accurate customer records and job documentation
Communicate professionally with customers, suppliers, and field technicians
Monitor job progress and ensure timely completion
Assist with scheduling, dispatching, and workflow coordination
Provide general administrative and operational support

Requirements
Previous experience as a Trades Virtual Assistant supporting Australian businesses
Hands-on experience using ServiceM8, Simpro, or AroFlo (essential)
Experience supporting Australian trades businesses such as Plumbing, Electrical, HVAC, Fire Protection, Air Conditioning, Security, Building & Construction, Roofing, or Cleaning
Strong understanding of Australian scheduling, dispatching, quoting, invoicing, and job workflow processes
Excellent written and verbal English communication skills
Strong attention to detail, time management, and organizational skills
Ability to work independently with minimal supervision

Nice to Have (not required)
Experience with Xero, MYOB, or QuickBooks
Experience with customer service, scheduling, dispatching, quoting, and invoicing
Familiarity with Australian trades industry terminology and workflows
Previous experience working remotely with Australian clients
