Mattingly is a small Australian consulting business working with industrial companies. We are looking for an experienced, reliable bookkeeper to take ownership of our day-to-day finance administration across Mattingly and one other small Australian business.
This is an ongoing part-time role for someone who understands Australian Xero bookkeeping and is comfortable managing payroll, super, invoicing, debtor follow-up, cash flow and monthly reporting.
What you will be responsible for
Xero setup and improvement
Review our existing Xero setup and recommend improvements.
Simplify the chart of accounts and reporting structure.
Create efficient bank rules, supplier rules and recurring transactions.
Set up client and project tracking properly.
Improve receipt capture and expense-matching processes.
Ensure payroll, PAYG, super and clearing accounts reconcile correctly.
Document the monthly finance process so it runs consistently.
Bookkeeping and expenses
Reconcile bank accounts and credit cards.
Match receipts and supporting documents to transactions.
Code transactions accurately.
Allocate expenses to the correct business, client and project.
Identify travel and other project expenses that should be billed to clients.
Maintain a report of recoverable client expenses that have not yet been invoiced.
Follow up missing receipts and unclear transactions through one consolidated exceptions list.
Payroll and super
Prepare and process payroll in Xero.
Check leave, allowances, reimbursements and payroll changes.
Complete STP processing.
Prepare and process super through Xero.
Reconcile payroll, PAYG and super accounts.
Provide a payroll summary for approval before payments are authorised.
The business owner will retain final approval of payroll, super and all bank payments.
Invoicing and debtors
Prepare and issue customer invoices.
Ensure recurring and project invoices are raised on time.
Add approved recoverable expenses to client invoices.
Monitor aged receivables.
Send friendly payment reminders.
Obtain and record expected payment dates.
Escalate sensitive or materially overdue invoices to the business owner.
Cash flow and reporting
Maintain a rolling 13-week cash-flow forecast.
Update expected customer receipts and upcoming payments.
Load and maintain the annual budget in Xero.
Prepare a monthly actual-versus-budget report.
Investigate and explain material variances.
Highlight cash-flow risks, overdue invoices, unbilled work and upcoming tax obligations.
Provide a concise monthly management report.
BAS preparation
Maintain both Xero files ready for BAS.
Reconcile GST, PAYG, payroll and super.
Prepare draft BAS figures and supporting workpapers.
Coordinate with our Australian accountant, who will review and lodge the BAS.
Respond promptly to accountant queries.
What we are looking for
You must have:
At least three years’ bookkeeping experience.
Strong Xero experience.
Experience working with Australian businesses.
Australian payroll, STP, PAYG and super experience.
Experience preparing Australian BAS workpapers.
Strong bank and balance-sheet reconciliation skills.
Experience managing customer invoicing and overdue debtors.
Experience preparing cash-flow forecasts.
Good Excel or Google Sheets skills.
Excellent written English.
Strong attention to detail.
The confidence to identify errors and recommend better processes.
A reliable computer, internet connection and secure working environment.
Experience with professional services or consulting businesses will be highly regarded.
Hours and pay
Approximately 15 hours per month once established.
Up to 20 hours during the initial setup and clean-up period.
Work can generally be completed flexibly, but some overlap with Australian business hours is required.
Budget: US$6–8 per hour, depending on experience
