Role Overview:

The outcome this role exists to produce: consistent, accurate financial reporting the CEO never has to think about.

You will own the financial tracking function of the company - payments, commissions, expenses - and deliver it as a clean, reliable weekly picture of the business. You'll develop the tools and systems (sheets, dashboards, processes) that surface critical financial information on demand, and support budget planning as we scale.

Success in this role looks like: the CEO gets hours back every week, every number is trusted, nothing slips through, and financial questions get answered in minutes instead of days.

Our mission: We help turn great fitness coaches into great business owners and achieve their personal, professional, and financial goals. We're a US-based coaching company at a ~$600K/year run rate, growing to $100K/month over the next 12 months — and we're building the back-office team to support that growth.

This role is the financial foundation of that plan. You won't just enter numbers. You'll own our entire finance tracking department and report directly to me (the CEO) every week. As we scale, you scale with us.

Objectives:

Deliver the weekly financial report to the CEO on time, every week, in a consistent format: new cash collected, backend/recurring collected, upsell cash, failed/late payments, commissions due, and expenses vs. budget

Track and reconcile all incoming payments (Stripe, Whop, wires, payment plans) against the client roster, accurate to the dollar

Track backend/recurring revenue vs. new cash collected each month and report the split clearly

Calculate all sales rep commissions correctly, with clean attribution of which rep sourced and closed each deal

Track, categorize, and reconcile all business expenses (Amex, contractors, software)

Keep QuickBooks and the master finance sheets clean, current, and audit-ready at all times

Flag failed payments, late payments, and discrepancies proactively — before the CEO or a rep notices

Run the weekly finance meeting with the CEO: present the numbers, answer questions, surface risks

Develop and improve the tools, dashboards, and tracking systems that make financial information available on demand

Document every finance process so the function runs on written process, not memory

Support budget planning: help leadership forecast expenses, plan spend, and make growth decisions from real numbers
Answer any financial question from the CEO same-day, with data

Maintain confidentiality and clean financial controls as the business scales toward $5M/year

Speed of answers: Any financial question from the CEO answered same-day with data, not estimates.


Requirements:

2+ years bookkeeping experience, ideally for a US-based online business
Strong Google Sheets and Excel skills (formulas, pivot tables, clean formatting)
QuickBooks experience
Familiar with Stripe or similar payment processors (payouts, refunds, failed payments, payment plans)
Fluent written and spoken English — you'll present to me weekly on video
Extremely detail-oriented. If a number is off by $1, you notice and chase it down
Reliable internet and availability to overlap with US Pacific time for the weekly meeting

Career Path

This starts part-time (~15–20 hrs/week). As we scale, it becomes a full-time Finance Manager role — owning payroll, commission systems for a growing sales team, and financial reporting. We promote from within, and pay raises are tied to the company hitting revenue milestones. When we win, you win.
