POSITION SUMMARY
The Data Analyst & Reporting Specialist is responsible for collecting, organizing, analyzing, and interpreting business data to support operational excellence and strategic decision-making across the organization. This role partners closely with department leaders to develop reports, dashboards, and performance metrics while providing analytical insights that improve operational efficiency and organizational performance.
The ideal candidate is highly analytical, detail-oriented, and advanced in Microsoft Excel. They enjoy transforming raw data into actionable business intelligence, identifying trends and opportunities, automating reporting processes, and providing leadership with meaningful recommendations that improve business results.
Essential Responsibilities
Reporting & Data Management
• Pull, compile, and validate reports from Aspire, Inova, Excel, and other business systems.
• Develop recurring operational, financial, labor, and performance reports for leadership.
• Create standardized reporting processes and maintain reporting documentation.
• Ensure data integrity through routine audits and quality control checks.
• Organize reporting files, templates, and data repositories for consistency and accessibility.
Data Analysis & Business Intelligence
• Analyze operational, financial, labor, production, and customer data to identify trends and opportunities.
• Evaluate business performance against key performance indicators (KPIs).
• Identify organizational strengths, weaknesses, risks, and opportunities through detailed analysis.
• Perform root cause analyses to determine drivers of operational successes and challenges.
• Develop actionable recommendations to improve efficiency, profitability, and performance.
Excel & Reporting Tools
• Design advanced Excel workbooks using PivotTables, Pivot Charts, XLOOKUP, INDEX/MATCH, SUMIFS, COUNTIFS, IF statements, dynamic array formulas, Power Query, conditional formatting, data validation, dashboards, and scorecards.
• Automate repetitive reporting tasks to improve efficiency and reduce manual effort.
• Develop executive-level reporting packages that provide meaningful operational insights.
Dashboard Development
• Build and maintain dashboards that monitor revenue and profitability, labor performance, budget versus actual results, productivity, timekeeping, job costing, customer satisfaction, operational KPIs, and department performance.
• Continuously enhance reporting tools to provide more accurate and actionable information.
Process Improvement
• Identify operational inefficiencies using data analysis.
• Recommend improvements based on measurable business outcomes.
• Measure the effectiveness of implemented process improvements.
• Develop standardized metrics that allow leadership to monitor performance consistently.
• Promote data-driven decision-making throughout the organization.
Communication & Leadership Support
• Present findings through reports, dashboards, charts, graphs, and executive summaries.
• Translate complex data into clear, actionable recommendations for non-technical audiences.
• Collaborate with department managers to identify reporting needs and define meaningful metrics.
• Provide analytical support during leadership meetings and strategic planning sessions.
Qualifications
• Bachelor's degree in Business Analytics, Finance, Accounting, Information Systems, Statistics, Mathematics, Business Administration, or a related field preferred.
• Three or more years of experience in data analysis, reporting, business intelligence, operations analysis, or a related role.
• Advanced proficiency in Microsoft Excel.
• Strong analytical, critical-thinking, and problem-solving abilities.
• Excellent organizational and time-management skills.
• High attention to detail and accuracy.
• Ability to manage multiple priorities while meeting deadlines.
• Excellent written and verbal communication skills.
• English proficiency
Preferred Technical Skills
• Microsoft Excel, including advanced formulas, PivotTables, Power Query, dashboards, and reporting automation
• Microsoft Office Suite and Google Workspace
• Power BI or Tableau a plus
• SQL and Microsoft Access a plus

Working Relationships
