ABOUT THE ROLE
We are hiring a highly organized Construction Compliance Administrator to support a growing U.S.-based specialty contractor serving commercial, industrial, manufacturing, and government clients.
This remote role focuses on construction compliance, contractor licensing, certificates of insurance (COIs), vendor prequalification, certified payroll, prevailing wage documentation, and project compliance portals such as Procore, ISNetworld, Avetta, Textura, and LCPTracker.
You do not need experience in every compliance area listed below. We are open to candidates with strong construction administration, contract administration, payroll, accounting, document control, or vendor compliance experience who can quickly learn specialized U.S. requirements.
This is a deadline-driven role with direct responsibility for keeping projects authorized to begin, maintaining required documentation, and helping ensure that billing and payments are released on schedule.
WHAT YOU WILL DO
Contractor Licensing and Business Registration
Maintain contractor licenses and business registrations across multiple U.S. states and operating entities
Track expiration dates, renewal deadlines, filing requirements, and supporting documents
Prepare and submit renewal packages using established procedures
Keep company information current on general contractor and approved subcontractor lists
Insurance, Bonding, and COI Compliance
Request, review, organize, and track certificates of insurance, endorsements, and related documentation
Confirm that insurance documents meet project or general contractor requirements
Track workers’ compensation documentation and state-specific requirements
Coordinate bonding documents for government and commercial contracts
Assemble complete compliance packages before project mobilization
Prevailing Wage and Certified Payroll
Research and track whether projects are subject to federal Davis-Bacon or state prevailing wage requirements
Retrieve and organize applicable wage determinations
Prepare, review, track, or submit certified payroll reports according to established procedures
Communicate wage rates, worker classifications, fringe benefit requirements, and reporting schedules to the accounting team
Track California public works requirements, including DIR registration, DAS documentation, and eCPR submissions
Respond to documentation requests and help resolve certified payroll discrepancies
Federal and Government Contracting Compliance
Maintain
Track CAGE, UEI, and agency-specific registration information
Maintain organized, audit-ready files for government and public works projects
General Contractor Prequalification and Compliance Portals
Complete and renew general contractor prequalification applications
Maintain company profiles and documentation in portals such as Procore, ISNetworld, Avetta, Textura, and LCPTracker
Upload insurance, licensing, payroll, financial, safety, and corporate documentation
Track approval status, deficiencies, expirations, and outstanding requirements
Flag potential compliance lapses before they delay a bid, project, mobilization, billing, or payment
Billing and Project Closeout Support
Confirm that required compliance and certified payroll documentation is complete before pay applications are submitted
Track lien waivers, retention documentation, closeout requirements, and payment-related compliance
Coordinate with accounting, project management, sales, general contractors, and external agencies
Maintain accurate trackers, status reports, and audit-ready electronic files
MUST-HAVE EXPERIENCE AND SKILLS
At least two years of experience in one or more relevant areas: construction administration, project coordination, compliance administration, contract administration, document control, payroll, accounting, insurance documentation, vendor management, or subcontractor administration
Experience managing detailed documents, renewals, approvals, or deadline-sensitive workflows
Strong written and spoken English
Strong attention to detail and the ability to identify missing or inconsistent information
Proficiency with Google Drive, Google Sheets, Microsoft Excel, and Microsoft Office
Ability to manage multiple deadlines across several projects, entities, or jurisdictions
Ability to follow detailed procedures while proactively escalating risks and missing requirements
Comfortable communicating professionally with internal teams, general contractors, vendors, agencies, and insurance contacts
Reliable computer, stable internet connection, and a professional remote workspace
PREFERRED EXPERIENCE
You do not need all of the following. Direct experience in at least one area will strengthen your application:
U.S. construction administration or subcontractor compliance
Contractor or business license tracking
Certificates of insurance, endorsements, or insurance compliance
Vendor onboarding and general contractor prequalification
Construction payroll, payroll auditing, or certified payroll support
Prevailing wage or public works documentation
Pay applications, lien waivers, retention, or project closeout
Procore, Salesforce, Airtable, or similar systems
BONUS EXPERIENCE
Davis-Bacon or state prevailing wage compliance
Certified payroll reports, WH-347 forms, wage determinations, worker classifications, fringe benefits, or overtime verification
California DIR, DAS 140/DAS 142, apprenticeship requirements, or eCPR
ISNetworld, Avetta, Textura, LCPTracker, or similar contractor compliance portals
Multi-state contractor licensing and business registrations
Construction bonding or state-specific workers’ compensation requirements
Supporting compliance audits or responding to agency inquiries
