Job Overview
The Transactions Coordinator is responsible for managing the administrative and
documentation side of PIN's property acquisitions and dispositions from contract to close. The
role runs two parallel deal pipelines: Front Side (FS) acquisitions — from offer through funding
request and closing — and Back Side (BS) dispositions, where PIN sells to a financed buyer
through term sheet, lender processing, appraisal, and HUD approval to closing. This role
ensures every deal in both pipelines moves smoothly by tracking deadlines, coordinating with
title companies, lenders, agents, and internal teams, and keeping transaction files organized
and compliant. The Transactions Coordinator works closely with acquisitions, construction, and
accounting to make sure nothing falls through the cracks during a deal. The ideal candidate is
highly organized, detail-oriented, and comfortable juggling multiple transactions at different
stages across both pipelines simultaneously. They must be proactive about deadlines, clear in
their communication with external parties, and quick to learn PIN's internal tools for keeping
every file on track.
Role Responsibilities
- Open, track, and manage transaction files for both FS (acquisition) and BS (disposition)
deals from contract through closing
- Coordinate with title companies, escrow officers, lenders, and real estate agents to keep
deals moving on schedule
- Monitor key contract deadlines (inspection periods, financing contingencies, closing
dates) and proactively follow up on stalled deals — for example, if funding hasn't been
requested within about a week of contract signing, if a buyer hasn't signed a term sheet
within a week of it being sent, if a realtor hasn't responded to an offer within 10 days, or
if due diligence stalls for 5+ days
- Capture title company, escrow officer, and lender information at contract execution, and
prepare, review, and organize contracts, addenda, and closing documents for accuracy
and completeness
- Review HUD/settlement statements and route for internal accounting approval before
requesting closing-cost wires
- Maintain up-to-date transaction records in PIN's internal transactions dashboard and
shared drives
- Communicate transaction status and updates to the acquisitions and leadership teams
- Request and track earnest money, wires, and other closing-related payments, including
confirming buyer wire instructions on BS closings
- Coordinate scheduling for inspections, appraisals, and closings

- Track replat / subdivision processes from signed contract through plat recording,
coordinating with surveyors and city platting departments
- Track post-closing handoff of newly acquired properties to the construction team (scope
of work) and confirm marketing readiness
- Resolve title issues, missing documents, or other roadblocks that arise during a
transaction
- Support ad hoc transaction or acquisitions needs as assigned
Skills Needed
- Prior transaction coordination, title, escrow, or real estate administrative experience —

- Strong attention to detail and deadline management — Required
- Highly organized, with the ability to manage multiple transactions across two distinct
deal types at once — Required
- Comfortable learning and using internal software tools (PIN's custom transactions
dashboard, task tracking, Gmail-based workflows); familiarity with Google Sheets/Docs
is a plus — Required
- Clear and professional written and verbal communication — Required
- Ability to work independently and take initiative in a remote environment — Required
- Familiarity with Texas real estate contracts, closing processes, and subdivision replatting
— Preferred
- Experience working with title companies or lenders — Preferred
Compensation
- $5–10 USD per hour, depending on experience
