Type: Part-time to start, approximately 20-25 hours per week, with a clear path to full-time
Schedule: Monday-Friday, 10:00 AM-3:00 PM Pacific Time (approximately 1:00 AM-6:00 AM Manila, depending on daylight-saving time)
Starting pay: approximately $750 USD per month based on experience
Growth path: Reliable long-term performers can move to full-time as responsibilities grow (this is the goal). I also provide the 13th-month bonus and annual performance/compensation reviews.
ABOUT THE COMPANY
I own Hunter's Insulation, a residential and light-commercial insulation company in Los Angeles, California. We perform attic and crawlspace insulation, insulation removal, air sealing, blown-in and batt insulation, wall insulation, ventilation and related work.
I handle the main technical sales conversations and estimating. I am hiring a long-term Client Experience & Operations VA who will run the customer-care and office system around me: following up on proposals, keeping sold customers updated, coordinating jobs, helping close jobs correctly, and gradually taking over bookkeeping and administrative systems.
This is not a cold-calling job. It does include real outbound phone work with warm leads and existing customers. You must be comfortable sounding confident, friendly and professional on calls.
WHAT YOU WILL DO FIRST
- Proposal follow-up: Call and message homeowners who already received a proposal. A typical sequence will include an automated JobTread follow-up, a VA phone call, and a final personal call fro
- Weekly sold-customer update calls: Once a customer signs, call them every week until the job starts. Give a real schedule update, explain the next step, answer simple process questions and make sure they never have to call us asking what is happening.
- Scheduling and pre-construction coordination: Schedule pre-construction meetings, confirm access and customer preparation, check weather, handle approved reschedules and send arrival confirmations.
- In-progress and post-job customer care: Help with daily/weekly check-ins, final invoices, review links, thank-you notes, 3-day/3-week/3-month follow-up and one-year warranty/comfort calls.
- Web and Yelp lead intake: Respond quickly during your shift using my templates and qualifying questions. Route technical sales conversations to me. You are not expected to estimate insulation or make technical promises.
- Invoicing: Create and send invoices in QuickBooks Online and follow my payment-method rules.
- JobTread CRM: Keep every lead, proposal, sold job, task, note and customer promise current. JobTread has extensive training, live support and a customer-success team, so willingness to learn matters more than prior JobTread experience.
WHAT YOU WILL GROW INTO AFTER YOU ARE ESTABLISHED
- QuickBooks Online bookkeeping: Daily/weekly transaction categorization, bank and credit-card reconciliation, receipts, unpaid-bill/payment reporting and clean records for my CPA.
- Job costing: Enter final labor, material, subcontractor, fee and payment information;
- Permits and LADWP rebate paperwork: Prepare applications and track missing items. I will provide screen-recorded training and checklists.
- Mailchimp: Draft useful customer
- Hiring support: Post jobs, screen applicants and schedule interviews for future field positions.
THE PERSON I AM LOOKING FOR
- At least two years of experience supporting US, Canadian, Australian or other Western clients.
- Strong spoken and written English. Your phone voice must be clear, warm and professional.
- Real hands-on QuickBooks Online experience is strongly preferred. This is the tool where previous experience matters most.
- Comfortable making outbound follow-up and customer-care calls. Again, this is warm calling, not cold calling.
- Extremely reliable with recurring routines. If a customer update is due Tuesday, it is completed Tuesday without me chasing you.
- Detail-oriented enough to keep dates, amounts, customer promises, invoices and job notes accurate.
- Able to work independently, ask good questions and use training/support instead of waiting silently when stuck.
- Honest and trustworthy. You will handle invoices, payments and financial records.
- Genuinely comfortable working the night-shift schedule consistently for the long term.
