My family deserves better organisation than I am currently giving them, and the disorganisation is costing me real money.
I am hiring one person to own all of it. My life, my household, my family and the admin layer of my businesses.
If you are the kind of person who quietly makes everything run, chases everyone until it is done, sees what is coming three months out, and lets nothing slip, keep reading.
What you will own
- Inbox zero. Personal and work. Read everything, action what you can, assign what belongs to someone else, and flag only what genuinely needs me. This is the single most valuable thing you will do and I want it at zero every day.
- My project management board. You own it. Keep it current, break work into tasks, assign them to the right people, set the deadlines and make sure nothing sits untouched.
- Chasing people. Team, suppliers, tradespeople, me. You follow up until you get an answer. Politely, relentlessly, without being asked.
- Being ahead of us. Look months forward, not days. Check the family and business calendars well in advance, spot the clashes, the deadlines, the renewals, the birthdays and the school dates, and deal with them before they become urgent.
- Ad-hoc business tasks. Researching and calling agents about office space, getting quotes, ordering signage for the office, sourcing suppliers, print and equipment. If it needs finding, pricing and booking, it is yours.
- Event coordination. I host events. You coordinate the whole thing: venue, catering, AV, invitations, guest list, run sheet and follow up.
Travel. Book trips for me and the family, watch prices before booking, catch the better fare or rate, handle flights, hotels, transfers and changes.
- Kids parties and family events. Venue, invitations, catering, entertainment, party bags, the lot. End to end, not just the booking.
Household fixes. Something breaks, you find the tradesperson, get quotes, book the appointment and confirm it. I should hear about it once, when it is done.
- Hiring and managing household help. Cleaner, ironing service, gardener, window cleaner. You source them, vet them, book them and keep them running.
- Appointments and bookings. Restaurants, medical, dentist, haircuts, school activities, birthdays and gifts.
- Finances. Personal and business admin. Track spending, chase invoices and refunds, catch subscriptions I forgot about, compare quotes, stay on top of renewals and insurance, and make sure nothing gets paid late.
- General life admin. The hundred small things that never get done.
Who you are
- Ruthlessly organised. You use systems, not memory.
- You take ownership. I want to say "the dishwasher is broken" and hear nothing else until an engineer is booked.
- You think weeks and months ahead, not hours.
- You are comfortable chasing people who are more senior than you. If you go quiet when someone ignores you, this is not your role.
- Excellent written English. You will be
- Confident on the phone with strangers. You will call agents, suppliers and venues, ask direct questions and negotiate.
- Good with numbers. Budgets, price comparisons, spreadsheets, spotting when something looks wrong.
- Discreet. You will see personal, family and business information and it stays with you.
- Resourceful. You do not need to know how to do everything. You need to be able to work it out.
- High standards and fast implementation. This is the key skill. Everything else can be learned.
Nice to have
- Experience supporting a business owner or a busy family.
- Experience running a project management board such as Asana, ClickUp, Monday, Notion or Trello.
- Event coordination experience.
- Familiarity with the UK, or a willingness to learn how things work here.
- Confident with AI tools to work faster.
The details
- Full time, long term.
- Significant overlap with UK hours required.
$700 to $1,200 per month depending on experience, paid monthly. For the right person we will go higher.
- Bonuses on top of base for strong performance. If you save me money, you share in it.
- You will work directly with me. No layers, no bureaucracy.
