About the Role
Set2Close is a HubSpot Elite Partner RevOps consultancy. We're building out a junior fractional controller function to support client invoicing, payment reconciliation, and sales revenue tracking across our finance and revenue tech stack. This is not a senior controller role — it's a detail-oriented, process-driven support position for someone who wants to grow into finance operations, with real ownership from day one and direct mentorship from the COO.
You'll be one of the first dedicated hires in this function, helping formalize how we track money moving through the business — from signed contract, to invoice, to payment received, to sales reporting.
What You'll Do
Invoicing & AR follow-up: Create and track client invoices in QuickBooks Online (QBO); monitor accounts receivable aging and proactively follow up on overdue payments — flagging risk before it becomes a collections problem, not after.
Payment reconciliation: Match incoming payments across Loop Financial, Stripe, and
Contract-to-invoice translation: Read signed client agreements (Statements of Work) and correctly build the invoice schedule from the payment terms described — due dates, milestone triggers, split payments — escalating anything ambiguous rather than guessing.
Sales attribution support: Work inside HubSpot to associate payments and invoices with the correct client deal record, supporting accurate monthly sales reporting.
Reporting support: Maintain and update recurring reports in Google Sheets (aging summaries, cash position, monthly sales rollups) with a high degree of accuracy.
Process adherence: Follow written finance SOPs precisely, and flag exceptions or process gaps rather than improvising a solution.
Required Skills & Experience
QuickBooks Online (QBO): hands-on invoicing and reconciliation experience — not just familiarity, actual working proficiency.
Advanced Google Sheets: comfortable with pivot tables, VLOOKUP/XLOOKUP, and multi-tab formula linking. This is used daily.
Accounts receivable / collections experience: demonstrated ability to independently identify overdue accounts and follow up professionally, without being prompted each time.
Payment platform experience:
Basic multi-currency comfort: able to work with USD-priced contracts against CAD-denominated books without confusion.
Contract comprehension: able to read a payment schedule in a signed agreement (e.g., "50% on signing, 25% at kickoff, 25% at milestone completion") and translate it accurately into an invoicing calendar.
P&L exposure: some prior exposure to profit & loss statements or basic financial reporting.
Strong written English: clear, professional communication — especially for client-facing payment follow-up
High initiative / self-starter: comfortable operating with a written process and flagging exceptions, rather than needing step-by-step direction.
Nice to Have
Experience with HubSpot (CRM record navigation — you don't need sales experience, just comfort finding and updating deal records).
Experience with Teamwork (project/task management platform).
Prior experience working with a Canadian or US-based company, or in a RevOps/agency environment.
Experience working from documented SOPs in a finance or operations role.
Work Arrangement
Part-time / fractional, contractor basis.
Some real-time overlap with North American (Pacific Time) business hours is preferred — ideally at least 2–3 hours of overlap for daily coordination.
Fully remote.
Compensation
USD $6.00–$10.00/hour, commensurate with demonstrated experience and skill level. This is a junior-level role with room to grow in scope and compensation as the function matures.
