What You'll Do
Order, track, and organize medical records and itemized bills for active pre-litigation files using MRO, ChartSwap, and Datavant
Review and summarize medical records, treatment timelines, and diagnostic findings for demand preparation
Audit medical bills for accuracy, duplicate charges, and unrelated treatment
Negotiate medical bill reductions with providers, hospitals, and billing departments
Handle lien identification, verification, and reduction — including hospital liens, provider liens, health insurance subrogation, Medicare/Medicaid, and letters of protection
Coordinate expert reviews and medical expert engagement through Expert Institute
Maintain accurate lien and balance ledgers so final settlement statements are clean and current
Communicate with providers' offices to resolve records gaps, missing bills, and coding questions
Support attorneys and case managers with medical chronologies and treatment summaries
Required Experience — please do not apply unless you meet these
Prior experience at a personal injury law firm in a medical records, medical billing, or lien-focused role
Hands-on experience with lien reduction and medical bill reduction negotiations
Working knowledge of records-retrieval platforms: MRO, ChartSwap, and Datavant
MUST have prior experience using Expert Institute for expert searches/engagements — this is a firm requirement
Strong understanding of medical terminology, treatment records, and itemized billing (CPT/ICD familiarity)
Excellent written English and meticulous attention to detail
Ability to manage a high volume of files and follow up persistently with providers
NICE TO HAVE
Formal medical knowledge or a medical degree (MD, RN, LPN, MA certification, or foreign medical graduate) — a strong plus
Experience with health insurance subrogation vendors (Optum, Equian/Conduent, Rawlings)
Familiarity with Medicare conditional payment resolution (MSPRP portal)
Experience with personal injury case management software (e.g., Filevine, Litify, CASEpeer, SmartAdvocate)
Bilingual English/Spanish
