# Office Administrator / Virtual Assistant (HVAC Company)

About Us
American Comfort Group is a growing residential HVAC company based in Virginia, USA. We are committed to providing exceptional customer service, honest workmanship, and professional communication. As our company grows, we are looking for a dependable Office Administrator who will become an integral part of our team.
This is not a short-term freelance position. We are looking for someone who wants to grow with the company over the coming years.
Responsibilities
* Answer incoming phone calls professionally
* Schedule service calls and estimates
* Respond to customer text messages and emails
* Manage the daily service schedule
* Enter customer information into Housecall Pro
* Create and send estimates and invoices
* Follow up with customers regarding unsold estimates
* Request Google reviews after completed jobs
* Register equipment warranties
* Track permits and inspections
* Maintain organized customer records
* Coordinate with technicians throughout the day
* Assist with administrative projects as assigned
Requirements
* Excellent spoken and written English
* Professional phone etiquette
* Clear speaking voice with minimal accent
* Strong customer service skills
* Highly organized and detail-oriented
* Reliable internet connection and quiet work environment
* Comfortable learning new software
* Able to work independently without constant supervision
Preferred Qualifications
* Experience with Housecall Pro, ServiceTitan, Jobber, or similar field service software
* Experience in HVAC, plumbing, electrical, or home service industries
* Experience using Google Workspace
* Experience using Microsoft Office
* Experience with CRM software
Work Schedule
* Approximately 20 hours per week initially (US Hours)
* Flexible schedule within agreed business hours
* Opportunity for additional hours as the company grows
