Job Overview
We are a U.S.-based small business with approximately **$1.5 million in annual revenue**. We are looking for an experienced **QuickBooks Online bookkeeper** to work with us on a part-time or project basis.
The initial project will involve reviewing and cleaning up our QuickBooks Online account, reconciling our financial accounts, and getting the books organized and ready for our CPA to prepare our tax returns.
After the initial cleanup project, there may be an opportunity for a few hours of ongoing bookkeeping work each month.
This is a good opportunity for an experienced freelance bookkeeper who already works with several clients and is looking to add another flexible, long-term account.
## Initial Project Responsibilities
Review our current QuickBooks Online file
* Reconcile all bank and credit card accounts
* Review and properly categorize transactions
* Correct duplicate, missing, or incorrectly categorized transactions
* Review uncategorized transactions and request clarification when needed
* Reconcile loans, credit cards, payment accounts, and other balance-sheet accounts
* Review accounts receivable and accounts payable
* Review the general ledger for errors or unusual transactions
* Complete year-end bookkeeping cleanup
* Prepare accurate profit-and-loss and balance-sheet reports
* Organize the books for our CPA or tax preparer
* Answer questions and provide reports requested by our CPA
* Recommend improvements to our bookkeeping process
Possible Ongoing Work
After the initial project is completed, ongoing responsibilities may include:
* Monthly bank and credit card reconciliations
* Transaction review and categorization
* Monthly financial reports
* Accounts receivable and accounts payable review
* General ledger review
* Year-end bookkeeping and tax preparation support
* Coordination with our CPA
Ongoing work is expected to require approximately **5–15 hours per month**, depending on the needs of the business.
## Required Qualifications
* At least three years of bookkeeping experience
* Strong experience using QuickBooks Online
* Experience cleaning up and reconciling existing QuickBooks accounts
* Experience preparing books for a U.S. CPA or tax preparer
* Understanding of profit-and-loss statements, balance sheets, and general ledgers
* Strong attention to detail
* Excellent written English and communication skills
* Ability to work independently and meet agreed-upon deadlines
* Ability to maintain the confidentiality of business and financial information
* Willingness to ask questions rather than guess when a transaction is unclear
## Preferred Qualifications
* QuickBooks Online ProAdvisor certification
* Experience working with U.S.-based small businesses
* Experience with businesses generating $1 million or more in annual revenue
* Experience with ecommerce, manufacturing, inventory, or product-based businesses
* Familiarity with Shopify, payment processors, credit card accounts, and sales-tax reporting
* Experience working directly with U.S. CPAs
* Familiarity with contractor payments, W-9 forms, and 1099 reporting

## What We Are Looking For
We need someone who can take ownership of the bookkeeping cleanup process, identify problems, make appropriate corrections, and clearly explain anything that requires our attention.
Accuracy, communication, reliability, and trustworthiness are extremely important.
We are not looking for someone to simply categorize transactions. We need an experienced bookkeeper who can review the entire QuickBooks file and help ensure the financial records are complete and accurate.
