Bilingual Habitability Intake Specialist (English and Spanish)


Job Type: Full-Time

Work Hours: Monday to Friday, 9:00 AM to 5:30 PM Pacific Time with a 30-minute break

Salary: $1,400/month


Job Overview:

We are seeking a Bilingual Habitability Intake Specialist to join a growing California-based law firm that advocates for tenants facing unsafe and unhealthy housing conditions. This is a client-facing role where you will serve as the first point of contact for prospective clients, using a structured intake process to gather detailed information about potential habitability and housing-related claims and help build strong cases in accordance with established office procedures. You will work closely with attorneys, paralegals, and the intake team to accurately document client information, collect supporting documentation, and ensure each intake is complete. We are looking for someone with a positive attitude who is patient, highly organized, thorough, and comfortable asking clarifying questions. Prior legal experience is helpful but not required. The ideal candidate demonstrates excellent communication, attention to detail, sound judgment, and a commitment to delivering exceptional client service.


Key Responsibilities:

Signing up potential new clients.
Working with potential new clients to help build solid cases, as required by office policies and procedures.
Handle inbound calls from prospective clients in both English and Spanish.
Conduct detailed intake interviews using established intake procedures.
Gather and accurately document information related to potential habitability and tenant rights claims.
Ask clarifying questions to ensure all required information is complete and accurate.
Facilitating and organizing evidence collection.
Assist prospective clients with submitting photos, videos, emails, text messages, notices, and other supporting documentation.
Accurately enter intake information into the firm's case management system.
Maintain organized records and detailed notes for every prospective client.
Follow up with prospective clients to obtain outstanding information or documentation needed to complete the intake process.
Responding to and propounding discovery, when needed.
Conduct intake interviews with prospective clients via phone, video conference, or other virtual communication channels.
Drafting various legal writings, as needed, including trial briefs, mediation briefs, complaints, and other legal documents.
Preparing and proofreading court documents, including subpoenas, case management statements, minor settlement petitions, etc.
Creating and sending Public Records Requests.
Writing and editing letters, including demand letters, assignment letters, and cease and desist letters.
Performing legal research.
Coordinate with attorneys, paralegals, and other members of the intake team.
Maintain the confidentiality of all client and prospective client information.
Other various legal and administrative support, as needed.

Required Skills & Qualifications:

Fluent in both spoken and written English and Spanish.
Prior legal experience is helpful but not required. Experience in customer service, legal support, intake, call center, or another client-facing role is preferred.
Experience with client relations and collecting evidence.
Exceptional customer service and active listening abilities.
Excellent research and writing capabilities.
Critical thinking and analytical skills, including asking thoughtful clarifying questions when necessary.
Pleasant, professional, and empathetic demeanor.
Ability to work independently, take initiative, and perform with minimal supervision.
Strong organizational skills with the ability to manage multiple priorities and meet tight deadlines.
Ability to learn quickly and thrive in a fast-paced environment.
Comfortable asking clarifying questions and following established procedures.
Strong follow-up and time management skills.
Proficient with computers, data entry, and Microsoft Office or Google Workspace.
Experience with a U.S. law firm, legal intake, CRM, or case management software is a plus.
Familiarity with tenant rights, habitability, personal injury, civil rights, or other consumer-facing legal practice areas is preferred.

Note: An NBI or police clearance will be required upon acceptance of the job offer.
