JOB OVERVIEW

Nexus Acquisition is a growing marketing agency that helps businesses scale through paid advertising. We're looking for a rockstar Onboarding Virtual Assistant to join our team and own the entire client onboarding experience from signed contract to campaign launch.

This is a long-term position with room to grow. We don't want someone for a few months — we want someone who will become the backbone of our operations for years to come.

What You'll Be Doing

~ Managing the end-to-end client onboarding process once a new client signs
~ Setting up new client accounts, workspaces, and folders in Go High Level and other tools
~ Collecting client assets (ad accounts access, branding materials, intake forms, logins, etc.)
~ Building and deploying onboarding funnels, intake forms, and welcome sequences inside GHL
~ Coordinating with the operations manager and internal setters to ensure smooth handoffs to the delivery team
~ Scheduling kickoff calls and ensuring all pre-call materials are completed
~ Following up with clients who haven't submitted required information
~ Updating CRM records, project management boards, and internal trackers
~ Identifying and flagging any bottlenecks or delays in the onboarding pipeline
~ Maintaining and improving onboarding SOPs over time

Required Skills

~ Experience with Go High Level (building funnels, workflows, automations)
~ Excellent written and verbal English communication
~ Highly organized with strong attention to detail
~ Experience working in a digital marketing agency environment (preferred)
~ Comfortable using tools like Slack, Google Workspace, Trello/Asana/ClickUp, Loom
~ Proactive problem solver — you don't wait to be told what to do, you figure it out
~ Reliable internet connection and professional home office setup

Bonus Points

~ Previous experience onboarding clients for a paid ads or media buying agency
~ Familiarity with Facebook Ads Manager, Google Ads, or TikTok Ads Manager
~ Experience with basic video editing or creative asset organization
~ Has managed or improved SOPs before

Working Hours

~ Monday to Friday, 9 AM to 5 PM EST
~ Full-time (40 hours/week)

Compensation

~ $500 to $900 USD/month (depending on experience)
~ Paid weekly or bi-weekly via [PAYMENT METHOD — Wise]
~ Performance bonuses available as you grow with us
~ Long-term position with pay increases based on results
