Role Overview
You support the Trailer Manager in overseeing a fleet of 1000+ trailers across multiple carriers and terminals. You play a critical role in ensuring every trailer is accounted for, properly assigned, compliant, and operational. This is not a passive data-entry role. You’re the person who keeps the fleet picture accurate, coordinates trailer repair concerns, and flags problems before they cost us time and money.
You should be familiar with common trailer repair and maintenance issues and understand how to coordinate practical solutions with drivers, terminals, vendors, and maintenance teams. What You’ll Be Doing
• Monitor, update, and reconcile trailer locations across the network on a daily basis
• Coordinate with route supervisors, internal team, dispatchers, carriers, drivers, and terminals to ensure accurate trailer assignments and timely movement
• Track trailer availability, maintenance schedules, and repair status
• Identify trailer issues, assess their operational impact, and coordinate the appropriate repair solution
• Maintain accurate and up-to-date trailer documentation (registrations, inspections, tags, insurance)
• Support reporting on trailer utilization, downtime, and compliance
• Identify discrepancies, missing updates, or unreported trailer statuses and escalate promptly
• Assist in improving internal trailer tracking systems for better visibility and accuracy
• Execute processes consistently with strong attention to detail
• Collaborate cross-functionally with dispatch, compliance, and maintenance teams
What Success Looks Like
• Trailer locations and statuses are consistently accurate and fully reconciled
• Assignments, availability, and movements are properly documented and updated in real time
• Maintenance, repair, and compliance records are complete and up to date
• Trailer defects and repair needs are identified early, properly communicated, and resolved efficiently
• Discrepancies are identified early and resolved before impacting operations
• Reporting on utilization and downtime is clean, accurate, and actionable
• Communication across departments is clear, timely, and structured
Who We’re Looking For
• Experience in fleet management, trailer maintenance coordination, logistics coordination, truck or trailer repairs, dispatch, or similar live operational roles (not general admin work)
• Familiarity with common dry van and refrigerated trailer repairs, defects, and maintenance concerns
• Ability to understand trailer repair issues, determine the appropriate next steps, and coordinate solutions
• Knowledge of common trailer components and issues, such as tires, brakes, lights, doors, landing gear, air lines, electrical systems, refrigeration units, and structural damage, is strongly preferred
• Strong attention to detail with high accuracy in tracking and record-keeping
• Organized and capable of managing multiple data points across systems and teams
• Clear and professional communication skills across departments
• Familiarity with platforms such as Samsara, LoadStop, or similar tracking systems is a plus
• Proactive mindset, able to identify and address issues before they escalate
• Strong analytical, troubleshooting, and problem-solving skills in a fast-paced environment
• Minimum 45 WPM typing speed
• Proficient in Microsoft Office, Google Workspace, and Logistics tools
• Reliable internet connection and fully equipped remote work setup
• Team oriented, coachable, and aligned with structured processes
Schedule & Work Setup
• Full time permanent remote role
• Direct Hire to a US Company (not agency or BPO)
• Current needed shifts: Sunday - Friday 8 PM - 6 AM CDT | Tuesday - Sunday 10 AM - 8 PM CDT
• Reliable home office setup and back up internet and power stations
• Zoom presence required (camera on throughout shift)
• Possible Hubstaff time tracking during shifts, but is not currently in use.
