AI Operations Specialist: Build, Finish, and Run the Systems Behind a U.S. Consulting Practice

ABOUT US I’m Jason Jones, a Senior Business Consultant. I work inside U.S. construction and trade businesses (residential remodeling, fire protection, collision repair, recycling) and install the systems that make them profitable: 13-week cash forecasting, job costing, KPI dashboards, weekly accountability meetings, incentive plans, documented processes. I use AI on everything: meeting transcripts become action plans, general-ledger exports become dashboards, and ideas become working tools in days. I produce a high volume of deliverables across multiple clients every week, and I need one sharp utility person who can take work from 80% to DONE, keep every file and follow-up in line, and run the recurring systems, so my time goes to strategy instead of detail work. You will not do construction. You will be the operator behind the machine.
WHAT YOU’LL DO 1. Finish deliverables to done. I generate drafts fast with AI (Claude). You take them to client-ready: Word documents on my exact format standard, Excel workbooks with live formulas that recalculate clean, decks, one-pagers. Finishing means checking the numbers, the naming, the versioning, and the details I no longer have time to police. 2. Run the financial tools, especially the CFM. Our core instrument is a 13-week cash forecast model in Excel. Weekly per client: import AR/AP and bank data, update actuals vs forecast, flag variances over threshold, keep the model integrity intact. You must be the kind of person who can open a complex workbook and NOT break it. 3. Build with AI. Single-file web tools (HTML/JS), dashboards, spreadsheet models, and automations (Zapier/Make or direct APIs). You don’t need to be a senior engineer; you need to reliably turn “wouldn’t it be nice if” into a working tool using AI coding, and debug what you build. 4. Data cleanup and imports. GL and CSV exports from tools like JobTread, ControlQore, QuickBooks, and CRMs: dedupe vendors, fix categorization, reconcile totals, import into our tools. You catch a doubled $9,230 invoice before I do. 5. Own the meeting-to-action pipeline. Recorded client meetings (Otter) become recaps, action registers with owners and dates, weekly plan rollovers, and updated trackers, all on my templates, nothing invented. 6. Keep the cadence and the files. Monday plans out, Wednesday meeting prep, Thursday review docs and invoicing inputs. Versioned filenames, right folders, uploads to our document system. Nothing silently dies on your watch.
REQUIRED - Proven AI builder: you have used Claude, ChatGPT, or similar to BUILD things (tools, models, automations), not just chat. You can code at least through AI (natural-language coding) and debug the result; JavaScript/Python literacy strongly preferred. - Excel at a modeling level: formulas, structured references, multi-tab workbooks, conditional logic. You can maintain and extend a financial model, not just enter data. - Strong Microsoft Word (styles, tables, headers) and Google Workspace. - Automation experience: Zapier, Make, or scripted API integrations. - Exceptional written English and exact instruction-following. I have precise formatting rules, down to punctuation, and the job is honoring them every single time. - Self-managing and detail-obsessed: you own your task list, flag blockers same day, and never let an action item rot. - Confidentiality: you will see client financials. - Reliable internet and a full-time remote setup.
