JOB OVERVIEW

Key Property Solutions is a real estate investment company in South Jersey, USA. We are hiring a detail-oriented, AI-savvy Data Manager to run our daily lead-data operations, with a heavy focus on probate records.

Please read this posting carefully before applying. It describes the pace of the job precisely.

SCHEDULE AND PAY

Hours: 5 hours per day, Monday through Friday, 9:00 AM - 2:00 PM EST. This is 9:00 PM - 2:00 AM Philippine time. This is a night shift role. Please only apply if you can work these hours consistently.

Saturdays: Not a standing workday. Available as an optional paid makeup day when a backlog needs clearing.

Base pay: PHP 247/hour (USD $4.00), approximately PHP 26,750/month at the full schedule.

Deal Bonus: PHP 3,090 (USD $50) for every deal the team closes. We average 1-3 deals per month, so expect PHP 29,800 - 36,000/month in total.

Pay is in USD via Wise. Peso figures shown at the current exchange rate for reference.

THE CORE OF THIS JOB: ATTENTION TO DETAIL, ACCURACY, AND SPEED

Probate is a first-to-market business. When a case is filed, we are competing to be the first company to reach the family. A record worked today is worth several times what it is worth next week.

- Probate records are worked and uploaded the same day they are assigned, not the next morning
- Other lists (pre-foreclosure, tax delinquency, liens, code violations) are cleared within 24 hours
- If you cannot finish something the same day, we need to know before end of day, not in tomorrow's report

If you work without a sense of urgency, this is the wrong role.

WHAT YOU WILL DO

Daily data processing: Pull and process fresh distressed-property records from county and municipal sources and our internal AI pipeline, then clean and upload them into our CRM (DataSift/REISift).

Probate workups: The majority of your time. Working from AI-generated summaries and photographs of courthouse records, identify the decedent, the executor/administrator, and the heirs, and correctly match each name to its role. You are the verification layer. The AI summaries and the source photos are your inputs, and either can be incomplete or wrong. Read every input before concluding information is missing.

Skip tracing and phone tagging: Use ForeWarn and similar tools to find phone numbers. Skip trace the executor/decision-maker first, then the heirs. Every number is tagged to the specific person it belongs to. Untagged or mis-assigned numbers make a record unusable to our callers.

Data verification and QA: Cross-check every record against the source. Pull the case number, find the original courthouse photo, and verify the decedent, executor, heirs, and property details match what the automation produced. Fix mismatched names and roles, invalid ZIP codes, malformed addresses, and duplicates.

Daily reporting: Two messages every working day, without being asked. At log-on, your objectives. Before log-off, what you completed, the exact number of records processed, what is blocked, and what carries into tomorrow.

PERFORMANCE STANDARDS

- Weeks 1-2: 10 records per day while you learn our systems
- Week 3: 18 records per day
- Week 4 onward: 25 records per day
- Accuracy: 95% or better on spot-checked records, at every stage

We conduct a 30-day review against the 25-record standard. You will know where you stand, because we will tell you weekly.

COMMUNICATION RULES

These are not preferences. They are the job.

- Escalate blockers when they happen, not at end of day. Stuck on a record more than 20 minutes? Message us. We can usually unblock you in two minutes.
- Ask instead of confirming. Saying "yes, I understand" when you do not costs us a full day of rework. Nobody is penalized for questions. People are let go for silent mistakes.
- Messages sent during your shift get a reply within 30 minutes.

HARD REQUIREMENTS

Reliable power and internet, with a documented backup. Outages have cost us full working days before, which is why this section exists. You must have backup power (UPS, inverter, or generator), a backup internet connection (hotspot or second provider), and a fallback location you can work from.

If you are going offline, message us before you go dark, with an ETA. Not after you return.

An iPhone or iOS device with photo text search. Our probate source material is photographs of courthouse records. You will search inside those photos, typing a case number into the Photos app to pull up every image containing it, to cross-reference a record against its source. This is a daily part of the job.

Also required: a reliable computer, a consistent schedule you commit to in advance, and clear written English.

WHAT WE ARE LOOKING FOR

- Detail-oriented and accurate. You double-check names, roles, addresses, and contact data.
- Strong research and skip-tracing instincts. Our source data is incomplete by nature. That is the job, not an obstacle to it. When a record has only a name, you know where to go next: courthouse documents, obituaries, property records, people-search tools, cross-referencing relatives. "The data was incomplete" is a starting point, not a report.
- AI-assisted and tech-comfortable. Quick to learn new software, and clear-eyed about when to verify what AI tools give you.
- Self-managing. You hit daily targets without reminders.
- A plus: ForeWarn, DataSift/REISift, Lead Sherpa, GoHighLevel, or Zapier.

- Your power or internet is unreliable and you have no backup
