JOB OVERVIEW

Company: PPA Media (ppamedia.ai) — UK-based AI content agency Position: Client Success Manager (CSM) Hours: Part-time to start (20 hrs/week, Mon–Fri, must overlap UK morning hours 9am–1pm UK time). Moves to full-time with a pay rise after passing a 60-day trial. Salary: $5–7/hr during trial (?$400–560/month part-time), rising to $900–1,100/month full-time on passing trial. Paid reliably every 2 weeks. 13th month pay once full-time. Start: Immediately

About Us

PPA Media creates AI clone videos and done-for-you content systems for UK coaches, consultants and business owners. We film a client once, then produce 20+ videos a month in their voice using AI, plus repurposed social content. We serve 30+ retainer clients. The founder has 20+ years in business — this is a stable, growing company, not a startup experiment.

The Role — In One Sentence

You make sure no client is ever waiting on us without knowing it — every client's videos are moving through the pipeline, every piece of client feedback gets a response within 24 hours, and the founder gets one clear end-of-day report instead of having to check everything himself.

What You'll Do Every Day
Morning pipeline sweep. Check each client's page in Notion: Are new scripts ready? Have videos been generated? Has each video been assigned to an editor? Is anything overdue?
Chase what's stuck. Message our video generator and editors to move stalled items. Follow up until it's actually moving — not just "I sent a message."
Client feedback watch. Check for client feedback/revision requests. Acknowledge every one within 24 hours, log it, and route it to the right editor.
Keep the tracker true. Update statuses in Notion/Google Sheets so they reflect reality. If the tracker says "In Progress" and nothing has moved in 3 days, that's a fire — flag it.
End-of-day report. Send the founder a short daily summary: what moved, what's stuck, what needs his decision. Nothing else lands on his desk.

You will coordinate a small existing team (video generation, 3 editors, publishing VA, scheduling VA). You are the person who makes sure their work connects.

You're Right for This If…
You are obsessive about detail. You notice the row that doesn't match, the client that hasn't been touched in 4 days, the typo in the status column. This is the #1 requirement — the role exists because details were being missed.
You close loops. You don't consider a task done when you've asked someone to do it — only when it's actually done and the tracker says so.
You have 2+ years in client success, account management, project coordination or operations for an agency, preferably one delivering creative/content work.
You have excellent written English — you'll message UK business-owner clients directly.
You're comfortable in Notion and Google Sheets (we'll train you on our exact setup, but you should already live in tools like these).
You're calm under chasing pressure and can give and receive direct feedback professionally.

Nice to have (not required): experience with HeyGen or AI video tools, Metricool or social schedulers, WhatsApp-based team workflows.

What Success Looks Like (How the Trial Is Judged)
Zero client feedback items older than 24 hours without a response
Zero clients with a stalled pipeline that the founder discovers before you do
Tracker status matches reality when spot-checked
EOD report sent every working day without being asked

Hit these for 60 days and the role goes full-time with a raise.

How to Apply

Attention to detail starts with your application. Follow these instructions exactly — applications that don't will not be read:

Start your application with the word INDIGO on its own line.
In 3–5 sentences, describe a time you caught a mistake or a stalled task that others had missed, and what you did about it.
Answer this mini-exercise. Here is a snippet from a delivery tracker. Today is Monday.

Tell us: which client would you act on FIRST, and what exactly would you do for each of the three? (There's no single right answer — we're looking at how you think.) 4. Include your CV, your expected hourly rate, and confirm you can work 9am–1pm UK time Mon–Fri.
