Mission
- Own the medical development and provider operations process from intake through completion, ensuring every veteran receives an accurate, organized, and timely experience while supporting the continued growth of Stern HealthWorks.
Core ResponsibilitiesMedical Documentation
- Develop comprehensive medical summaries using Stern HealthWorks' proprietary AI-assisted workflow.
- Review and validate all AI-generated content against source medical records.
- Prepare provider packets for nexus opinions, evaluations, DBQs, therapy referrals, and other medical services.
- Create customized migraine logs, IBS logs, symptom journals, and supporting documentation.
- Maintain complete, accurate, and organized client files.
Client Success
- Communicate professionally with veterans primarily through text and
- Answer questions regarding the documentation and provider process.
- Coordinate appointments with providers and veterans.
- Send reminders and ensure veterans are prepared for scheduled encounters.
- Follow up after appointments and provide veterans with a synopsis of next steps and outcomes.
- Ensure all required documentation has been received before provider appointments.
Provider Operations
- Manage provider calendars and scheduling.
- Coordinate documentation delivery to providers.
- Track outstanding reports and provider turnaround times.
- Conduct regular outreach with providers to maintain strong working relationships.
- Help identify, onboard, and support new providers as Stern HealthWorks expands.
Quality & Operations
- Maintain organized documentation across all cases.
- Ensure every document meets Stern HealthWorks quality standards.
- Continuously improve workflow efficiency.
- Identify opportunities to improve AI prompts, templates, and internal processes.
Performance Expectations
- Following completion of onboarding and training:
- Complete a minimum of 6 production-ready medical documents per business day.
- Maintain exceptional attention to detail with minimal quality assurance corrections.
- Respond promptly and professionally to veteran communications.
- Successfully coordinate provider schedules while maintaining a high level of customer service.
- Build trusted relationships with providers and clients.
Performance Bonuses

- Additional Stern HealthWorks services sold through text conversations
- Provider relationship management
- Operational improvements
- Team contributions
Only production-ready work that meets Stern HealthWorks quality standards is eligible toward performance incentives.
