Job Description: RMA Specialist
note: Tesla experience is non-negotiable.
Position Summary
The RMA (Return Material Authorization) Specialist is responsible for managing the complete warranty replacement process for defective solar equipment from initial diagnosis through final resolution. This role serves as the primary point of contact between manufacturers, internal departments, and field service teams to ensure warranty claims are processed efficiently and customers receive timely resolutions.
The ideal candidate has prior experience managing the RMA process within the solar industry and is highly familiar with Tesla Energy products, including navigating Tesla's warranty and service processes. Experience with additional manufacturers such as Enphase, SolarEdge, Qcells, FranklinWH, or similar is preferred.

Key Responsibilities
Warranty & RMA Management
? Manage warranty replacement (RMA) cases from initiation through closure.
? Submit, track, and manage RMAs through Tesla and other manufacturer warranty portals.
? Review warranty eligibility and ensure all manufacturer requirements are met prior to submission.
? Monitor approvals, equipment shipments, backorders, and replacement timelines.
? Escalate delayed or critical warranty cases with manufacturers as necessary.
Technical Coordination
? Collect and verify all required diagnostics, photos, monitoring data, and troubleshooting documentation before submitting warranty claims.
? Work closely with Service Technicians to confirm proper troubleshooting has been completed.
? Coordinate with Engineering, Operations, Service Coordinators, and Procurement to ensure seamless execution of replacement activities.
? Schedule replacement work with Service Coordinators and Area Service Managers once replacement equipment is received.
Quality Assurance
? Verify successful equipment replacement through remote monitoring platforms (Tesla One, Enphase Enlighten, SolarEdge Monitoring, etc.).
? Confirm systems are operating properly before closing warranty cases.
? Ensure accurate documentation of labor, parts, serial numbers, and warranty records.
Communication
? Serve as the primary point of contact for manufacturers regarding warranty claims.
? Provide timely updates to internal stakeholders on RMA status, shipment tracking, and expected completion dates.
? Communicate professionally with service personnel and management regarding case progress.
Process Improvement
? Identify trends in equipment failures and recurring warranty issues.
? Recommend improvements to reduce RMA turnaround times and improve customer satisfaction.
? Assist in developing and maintaining standard operating procedures (SOPs) for warranty processing.

Qualifications
Required
? 2+ years of experience managing warranty claims or RMAs.
? Experience working with Tesla Energy products and Tesla's RMA/warranty process.
? Experience using manufacturer warranty portals.
? Strong understanding of solar PV systems and major system components.
? Excellent organizational and time management skills.
? Strong attention to detail.
? Ability to manage multiple warranty cases simultaneously.
? Strong written and verbal communication skills.
? Proficient in Microsoft Office and CRM platforms.
Preferred
? Experience with Enphase, SolarEdge, FranklinWH, Qcells, Generac, or other solar manufacturers.
? Experience with remote monitoring platforms.
? Knowledge of residential solar installation and service workflows.
? Familiarity with inventory management systems.
? Experience working with ERP or field service management software.
