About the Role
We're looking for a seasoned, hands-on Director of Operations to serve as the strategic and functional backbone of our business operations. This is a part-time contractor role at 25–30 hours per week — but the scope is real and the decisions matter.
You will own demand planning, supply chain, kitchen coordination, vendor relationships, and financial operations oversight. You'll also manage and direct a junior Ops Admin who handles day-to-day transaction processing and 3PL coordination. This is not a purely supervisory role — you will be in the systems, making calls, and driving continuity across a lean operation that's in an active growth and profitability phase.
The ideal candidate has done this before in a small food manufacturing or e-commerce company, is deeply comfortable in inventory management systems (DEAR/Cin7 required), and brings the judgment to make good supply chain decisions in a cash-constrained environment.

Type: Part-time, Independent Contractor
Schedule: Monday–Friday, PST business hours
Hours: 25–30 hours per week
Key Responsibilities
1. Demand Planning & Supply Chain
Own the demand forecast and translate projections into weekly kitting schedules and purchase plans
Manage ingredient and packaging procurement: vendor selection, PO issuance, price negotiation, and lead time management
Maintain reorder points and safety stock levels across all SKUs; monitor for stockout risk
Balance inventory investment against cash flow constraints — purchase decisions must be deliberate and justified
Model scenarios for demand, supply, and new product changes; communicate implications to the Founder
2. Kitchen Operations
Own the kitchen production schedule in coordination with the Production Manager
Oversee kitchen quality program: batch production records, product specs, and organic certification compliance
Manage production assemblies and cost allocation in DEAR; process drop transfers and submit ASNs in Extensiv
Ensure audit-readiness on an ongoing basis
3. 3PL & Logistics Oversight
Oversee the 3PL relationship at a strategic level; direct Ops Admin on day-to-day coordination
Review and dispute incorrect 3PL charges (freight, kitting, storage)
Manage outbound logistics strategy across DTC, Amazon, and wholesale channels
Oversee offload management for expiring or excess inventory when opportunities arise
4. Wholesale & Retail Channel Operations
Oversee wholesale account operations across active accounts (Faire, distributors, specialty grocery)
Own deductions tracking and dispute management for distributors and retailers
Manage TrueCommerce/EDI account oversight; direct Ops Admin on portal execution
Maintain routing guide compliance and customer-specific requirements
5. Financial Operations
Hold invoice approval authority across freight, POs, and vendor invoices
Contribute to weekly cash flow planning by managing purchase forecast inputs
Review monthly financials with focus on operational expense accuracy
Run and analyze DEAR and QuickBooks reports; flag variances and anomalies proactively
6. Systems & Data Integrity
Oversee data integrity across DEAR/Cin7 Core, Extensiv, QuickBooks, Shopify, and TrueCommerce
Own the SOP library: create, maintain, review, and approve all operations SOPs
Drive continuous improvement — identify process inefficiencies and implement solutions
Manage new item setup including GS1 barcodes and system configuration
7. Team Oversight
Direct and manage the Ops Admin: delegate, review work, and develop their scope over time
Serve as the escalation point for all operations issues above the admin level
Support hiring and onboarding of any future operations hires
Required Skills & Experience
Experience: 5+ years in operations, supply chain, or logistics — with at least 2 years in a food manufacturing, CPG, or e-commerce environment
Systems: Hands-on experience with DEAR/Cin7 Core is non-negotiable — you will be in the system daily
Demand Planning: Demonstrated experience owning demand planning and procurement in a small-team environment
Vendor Management: Experience managing vendor relationships including price negotiation and performance management
Judgment: Comfortable making supply and purchasing decisions in a cash-constrained business
Communication: Strong written and verbal English; able to represent the business professionally with vendors, distributors, and partners
Strongly Preferred: Experience with Extensiv (WMS), TrueCommerce (EDI), CCOF organic certification, FSMA compliance, QuickBooks, and omni-channel operations (DTC + wholesale + Amazon)
Tools: Google Workspace and Slack required;
