JOB OVERVIEW

ABOUT US

We are an email and SMS retention marketing agency working with 60+ active DTC brands across health, beauty, supplements, apparel, pet care, and telehealth.

We run primarily on Klaviyo, with additional work on ---------- , Iterable, and Attentive.

We are systematized. Locked copy formats, banned word lists, per-brand rules, and a 30-format campaign library. This role sits at the centre of the operation. When it runs well, everything downstream runs on time.



THE ROLE

This is the person who makes sure things are actually live, actually accurate, and actually reported. It is high volume and it is deadline driven. You will be handling batches of 15+ brands in a single request and you will be asked, often, what is outstanding and by when.

The two things that matter most in this seat are accuracy and follow-through. A number that is off by one client on the month-end sheet becomes a billing problem. A flow that sits in draft becomes lost client revenue.



WHAT YOU WILL DO

1. LAST 30-DAY REVENUE REPORTS (the most frequent request in this role)

- Build last-30-day revenue reports on request, in batches of anywhere from 4 to 18 brands at a time
- Report total generated, split flows versus campaigns, then calculate the performance percentage against that brand's specific rate and state the retainer alongside it
- Rates differ per brand. Some are 10%, some are 5%. You check, you do not assume
- Show the math. Converts times average order value where the platform does not attribute directly, such as Iterable accounts
- Evidence every figure with a screenshot link
- Handle pro-rated reports when a client starts or ends mid-month
- Track brand renames so reports stay continuous when a client rebrands

2. MONTH-END MASTER SPREADSHEET

- Duplicate the master sheet and set it up for the new month. Never edit the previous month's tab
- Update every client number for the month
- Add every client onboarded in the last 30 days, and double check that nobody has been missed
- Remove churned brands so the sheet stays clean
- This sheet feeds invoicing. A missing line is a missing invoice

3. WEEKLY REPORTS

- Build the weekly Klaviyo performance report per brand into Google Docs with screenshots
- Reconcile against the live account and correct manually when attributed revenue shifts after the fact
- Include subscription started and cancelled sections for the brands that require both

4. FLOW IMPLEMENTATION

- Take approved Figma designs and load them into Klaviyo or ---------- , then set them live
- Slice each email correctly so images render sharp, not as one compressed block
- Set triggers, filters, conditional splits, and dynamic sections
- Configure sender address, sending domain, footer snippets, alt text, campaign UTMs, discount codes, and destination links
- Follow the designer's established fonts, colours, and format for that brand across every flow
- Resolve client comments left on Figma and transfer files when a build is complete
- Set to draft for review first, then live once approved
- Flag anything you are unsure about, such as a non-standard trigger, rather than guessing and shipping it

5. FLOW AUDITS

- Audit the live flows on an account and produce a document with screenshots covering each flow, what is broken, what is missing, and how it can be improved

6. CAMPAIGN IDEATION AND COPY ACCURACY

- Produce three ideas per brand in our locked format: one pain solution, one educational, one benefits driven
- Each block carries a headline, subheader, tight body, CTA, live product URL, full design direction, and trust badges, using a named format from our format library
- Base ideas on what is actually performing in the account, pulled from the platform data
- Verify every claim, price, offer, and guarantee against the live brand site before it goes into ideation. This is the single highest-risk point in the role. Misinformation traces back to here
- Do not repeat an angle a brand has already run, and do not build ideas for products that are sold out or brands that are paused
- Assign copy batches to the copywriters a day ahead and review what comes back

7. CLIENT STATUS TRACKER

- Maintain the pinned tracker covering every newly onboarded client
- Per client: onboarding date, whether flows are live and running, whether campaigns are scheduled every other day, what date campaigns are scheduled through, whether the sign-up form is installed and live, the platform, and the deadline
- Keep it current. When asked for status, you answer from the tracker, not fro ---------- mory

8. TO-DO LIST AND DEADLINE DISCIPLINE

- Maintain a running to-do list with a status marker and a committed completion date on every item
- Every task you get tagged in goes on the list, immediately
- Send an updated list on request, and proactively when priorities shift
- When a date slips, say so before it slips, not after

9. TEAM FOLLOW-UP

- Follow up with the other builders on their tasks and report their status upward
- Chase what is stuck. Things falling through the cracks is the failure mode this role exists to prevent

10. ACCESS AND ASSET GOVERNANCE

- Request, confirm, and track Klaviyo, Shopify, ---------- , and Attentive access per account, and escalate blockers instead of letting work sit
- Grant teammates channel and Figma access when needed
- Work exclusively from the company account. Nothing lives on a personal drive
- Maintain the brand asset sheet: site URL, VOC and ICP docs, Instagram, Facebook, Drive folder
- Keep the active versus paused client list current

11. SEND HYGIENE

- Suppress active subscription customers from campaign sends on subscription brands so we are not marketing to people already on recurring billing
- Audit accounts for under-sending against active contact counts

12. SALES AND PROOF ASSETS

- Compile Klaviyo and Shopify performance screenshots meeting our thresholds, currently $200,000+ in revenue and 15%+ email revenue share
- Write up brand case studies and maintain the full client list with links



WHAT WE ARE LOOKING FOR

Required
- 2+ years managing Klaviyo accounts for DTC ecommerce brands, agency side strongly preferred
- You have loaded flows into Klaviyo from design files and set them live yourself, including triggers, filters, conditional splits, and dynamic content
- Strong spreadsheet accuracy. You will be doing percentage and retainer math that feeds invoicing, across dozens of accounts, every month
- You can hold a to-do list with dates and report against it without being chased
- You verify before you send. Claims, prices, links, offers, codes, numbers
- You can write. You will be producing campaign briefs and copy
- Comfortable in Figma at a working level: reviewing designs, slicing assets, resolving comments
- Shopify familiarity, including how the integration syncs
- Written English strong enough for internal docs and client-facing reports
- Reliable overlap with North American hours

Strongly preferred
