E-commerce Management Accountant & Inventory Planner

We are looking for a commercially minded accountant or finance professional to take ownership of our monthly profit and loss reporting, financial visibility, and inventory forecasting.

This is not simply a bookkeeping role.

We need someone who can keep our financial records accurate, clearly explain how the business is performing, and help us make better decisions around profitability, cash flow, stock levels, and future purchase orders.

The successful candidate will also be responsible for monitoring inventory across our product range and telling us exactly when new orders need to be placed, based on current sales, expected growth, manufacturing timelines, and shipping lead times.

We are a growing direct-to-consumer e-commerce business selling physical products in the United States.

## Key Responsibilities

### Monthly Financial Reporting

* Prepare and maintain an accurate monthly profit and loss statement.
* Reconcile revenue across Shopify, payment processors, subscriptions, refunds, and other sales channels.
* Track all major costs, including:

* Product costs
* Freight and shipping
* Fulfilment and 3PL fees
* Advertising spend
* Payment processing fees
* Software and agency costs
* Refunds, chargebacks, and discounts
* Calculate gross profit, contribution margin, operating profit, and net profit.
* Review actual performance against forecasts and previous months.
* Identify unusual costs, margin changes, or areas where profitability is being lost.
* Produce a clear monthly financial report that management can understand and use to make decisions.
* Maintain accurate landed costs and cost of goods sold for each product.
* Support cash-flow forecasting and future payment planning.

### Inventory Management and Forecasting

* Maintain an accurate inventory tracker for all finished products, components, packaging, and incoming purchase orders.
* Monitor current sales velocity by product and SKU.
* Calculate weeks of stock remaining based on current and forecasted sales.
* Account for manufacturing time, ocean or air freight, customs, delivery to the warehouse, and safety stock.
* Provide clear reorder dates and recommended purchase-order quantities.
* Warn management early when a product is at risk of going out of stock or becoming overstocked.
* Model different sales scenarios, including expected growth, promotions, new product launches, and changes in advertising spend.
* Track purchase orders from placement through manufacturing, shipping, and warehouse delivery.
* Compare forecasted inventory usage against actual usage and update forecasts regularly.
* Help determine when air freight may be necessary and whether the additional cost is commercially justified.

## Monthly Deliverables

Each month, you will be expected to provide:

* A completed profit and loss statement.
* A cash-flow overview.
* Gross margin and contribution-margin reporting.
* A breakdown of major cost movements.
* Inventory levels by SKU.
* Current daily and monthly sales velocity.
* Estimated stock-out dates.
* Recommended purchase-order dates and quantities.
* A summary of financial or inventory risks that require management attention.

The information must be presented clearly. We do not want to receive spreadsheets without explanation. We want someone who can tell us what the numbers mean, what is changing, and what action we need to take.

## Required Experience

* Previous experience in accounting, management accounting, financial analysis, or commercial finance.
* Strong understanding of profit and loss statements, cost of goods sold, gross margin, cash flow, and inventory accounting.
* Experience working with an e-commerce or physical-product business.
* Experience forecasting inventory and calculating reorder points.
* Strong Excel or Google Sheets skills.
* High attention to detail and confidence working with large amounts of financial and operational data.
* Ability to communicate financial information in straightforward language.
* Comfortable working independently and taking ownership of deadlines.

## Preferred Experience

* Experience with Shopify.
* Experience with subscription-based e-commerce businesses.
* Experience working with overseas manufacturers and international freight.
* Familiarity with 3PL and fulfilment reporting.
* Experience reconciling Shopify, payment processors, advertising platforms, and accounting software.
* Familiarity with tools such as QuickBooks, Xero, A2X, Triple Whale, Inventory Planner, or similar platforms.

You should not wait for us to notice that stock is running low or that margins have fallen. You should identify the issue early, explain why it is happening, and recommend what we need to do next.

The right person will become a trusted financial and operational partner to the business—not simply someone who enters transactions into accounting software.
