Pacific Mind Health is an established outpatient mental health practice seeking a detail-oriented, reliable, and compassionate professional to join our virtual team. As a Patient Intake & Care Coordinator, you will play a critical role in helping patients access care by supporting the new patient journey from initial inquiry through scheduling and onboarding. This position requires strong communication skills (English), attention to detail, and the ability to provide a professional and compassionate experience for patients seeking mental health services.
Your work will directly support timely access to high-quality care by ensuring accurate patient enrollment, efficient scheduling, insurance verification, and seamless coordination between patients, providers, and internal teams.
This is a full-time remote position, working Monday through Friday, approximately 40 hours per week. Candidates must be available during Pacific Standard Time (PST) hours.
Key Responsibilities
• Conduct new patient screenings and intake assessments (mental health experience required).
• Serve as the first point of contact for prospective and new patients, providing a welcoming and supportive experience.
• Communicate with patients regarding available services, including Interventional Psychiatry treatments such as TMS and Spravato.
• Gather and accurately document patient demographic, clinical, and insurance information.
• Coordinate and schedule initial consultations, follow-up appointments, and procedures.
• Verify patient insurance eligibility, benefits, coverage requirements, and financial responsibilities.
• Review and collect required patient intake forms, consent forms, and supporting documentation.
• Follow up with patients regarding incomplete paperwork, missing information, or outstanding requirements.
• Assist patients with questions regarding practice policies, procedures, services, and next steps in their care journey.
• Collaborate closely with clinical and administrative teams to ensure efficient patient transitions and high-quality care coordination.
• Maintain accurate records within electronic medical record (EMR) systems and related platforms.
• Support improvements to intake workflows, scheduling processes, and overall patient experience.
• Perform additional administrative responsibilities as assigned.
Qualifications
• 3+ years of recent mental health medical office experience required.
• Minimum of 1 year of experience in patient intake, enrollment, care coordination, or new patient onboarding.
• Licensed nurse or clinical healthcare background preferred.
• Experience with mental health services, psychiatric practices, or specialty healthcare settings strongly preferred.
• Excellent verbal and written communication skills in English.
• Strong attention to detail with the ability to manage multiple priorities in a fast-paced environment.
• Ability to provide compassionate, professional, and patient-focused experience.
• Reliable high-speed internet connection required.
Additional Skills & Competencies
• Communication: Clear, professional verbal and written (English) communication with patients, providers, and external vendors through phone,
• Patient Experience: Ability to build trust with patients, explain processes clearly, and provide support throughout the intake and scheduling experience.
• Self-Motivation & Accountability: Proactive, adaptable, and comfortable working independently as part of a remote healthcare team.
• Organization & Time Management: Ability to prioritize tasks, manage deadlines, and maintain accuracy while handling multiple patient requests.
• Tech Proficiency: Comfortable using:
• Electronic Medical Records (EMR) systems (e.g., Tebra, Kipu, DrChrono)
• Google Workspace (Docs, Sheets, Drive)
• CRM, phone system and workflow management tools (e.g., Asana, HubSpot, Dialpad)
• Dropbox and other cloud-based tools
• HIPAA Compliance: Strong understanding of patient privacy, confidentiality, and healthcare compliance requirements.
• Patient Insurance & Financial Communication: Ability to explain insurance benefits, patient financial responsibilities, and billing-related questions in a clear and professional manner.
