JOB OVERVIEW

We're a US-based insurance agency looking for a detail-oriented Data Operations VA to handle a high-volume, repetitive data workflow. You'll be downloading data exports, compiling them, cleaning them, and organizing them into finished lists for our team.

This is not a creative role. It's the same process over and over, on very large files — we need someone who is accurate, consistent, and doesn't get bored or sloppy on record #400,000. If you like clean, organized data and checklists, you'll do well here.

We work with contact databases totaling 150M+ records with multiple data points per record, so comfort with large files is essential.

**What you'll do**

- Download data exports from our sources on a regular schedule
- Combine multiple files into single working files
- Clean and standardize columns (renaming headers, formatting phone numbers, matching different file layouts to our standard format)
- Split finished files into batches at specific record counts
- Save and name every file according to our conventions and deliver on schedule
- Keep a simple log of what was processed, when, and the record counts

**Requirements**

- **Two computers, each with its own monitor** (or two computers with dual monitors — please tell us your exact setup). You'll be running long processing jobs on one machine while working on the other, so this is a hard requirement.
- Windows or Mac, minimum 8GB RAM (16GB strongly preferred), and enough free disk space to handle multi-gigabyte files
- Reliable high-speed internet (please state your speed) **plus a backup connection** — pocket WiFi or mobile data
- UPS or backup power for brownouts
- Strong Excel and/or Google Sheets skills — sorting, filtering, VLOOKUP/XLOOKUP, text functions, remove duplicates
- Experience working with CSV files and files with hundreds of thousands of rows without crashing or corrupting them
- Good written English for daily updates
- Available 8-10 hours per day overlapping with EST, Mon–Fri 9-7
- Willing to sign an NDA and handle confidential data responsibly

**Nice to have (not required)**

- Experience with large-file tools like OpenRefine, Power Query, or basic Python/pandas
- Previous work with lead lists, CRM data, or skip-trace data
- Familiarity with data cleaning and deduplication at scale
