JOB OVERVIEW

We run two complementary e-commerce Amazon FBA brands: one in a premium giftable category with strong Christmas seasonality, one in sports & fitness. We are at ~200 SKUs today, with a clear roadmap to ~500. We sell across Amazon US, UK &.Canada, manufacture in China, and ship into FBA, AWD, and 3PLs across the US, UK, and Canada.

** THE ROLE **

This is a senior role. The CEO and Head of Operations are looking for a trusted operator to take ownership of the supply chain and logistics function, “end-to-end”, from initial forecasting -to- factory floor -to- FBA shelf. Someone we can hand the keys to and trust to drive it forward with little oversight.

You'll inherit a well-documented operation, with a structured onboarding: our current Supply Chain Manager will support your transition, transferring knowledge of both brands, our suppliers, and our systems so you can take the reins with confidence.

We also expect you to work AI-first. The best person for this role uses AI daily: to pressure-test forecasts, draft communications, build formulas, and automate the repetitive parts of logistics coordination. At the same time, you verify every output before it touches a decision. AI leverage is how one sharp operator runs what used to take a full department.

** WHAT YOU WILL OWN **

— Supply chain strategy and execution across both brands, “end-to-end”. Each runs its own forecasting methodology; you'll master both and standardize where it genuinely helps
— Demand forecasting and order planning for 200 SKUs (scaling to 500), built in Google Sheets with the backing of solid data flows
— China manufacturer relationships and procurement: purchase orders (POs): production scheduling, inspections, quality, MOQ and pricing negotiation, alternate sourcing
— International freight and logistics coordination: coordinator of carrier selection, cost vs. transit time, customs compliance, freight forwarders, 3PLs
— FBA inventory health: replenishment timing, 45 to 90 days cover, avoiding stockouts and overstock, inbound receiving discrepancies, reimbursements, cases with Amazon
— The small, critical details: barcodes, FNSKUs, shipment labeling, compliance documentation, tracking reconciliation. You are the last line of defense
— A performance dashboard you build and own: forecast accuracy, inventory turnover, lead time, on-time-in-full, stockout rate, shipping cost per unit, cash-flow planning
— Alignment with marketing and sales (a lightweight S&OP rhythm), so inventory matches promotional plans and seasonality. Flagged early, with numbers
— Task and process management in ClickUp: every shipment, order, supplier action, and follow-up lives in ClickUp so the whole team has visibility, and nothing falls through the cracks. You will be expected to maintain it rigorously, not treat it as optional
— Proactive communication: updates prior to asking, risks flagged early, follow-through without being chased

** WHAT OWNERSHIP MEANS HERE **

In supply chain management, small mistakes compound: one wrong barcode or missed reorder point can be costly. So we work to a clear standard. Sanity checking is built into how you operate: reconciling totals, second-passing formulas, and gut-checking outputs against reality before they drive a decision. Occasional errors are part of the job; what we can't carry is the same error recurring, going unnoticed, or going unexplained. When something does go wrong, you own it: what happened, why, the impact, and the fix that stops it repeating. Work like that, and you'll have our full backing when things go sideways.

** MUST HAVES: SKILLS & EXPERIENCE **

— 4+ years in supply chain or inventory management, with 2+ years personally running an Amazon FBA supply chain “end-to-end” (Bachelor's in Supply Chain or related field is a plus)
— Proven experience managing 100+ SKUs; multi-brand portfolios a plus
— Deep international logistics knowledge: sea freight, customs, import/export compliance
— Strong Seller Central command: restock/capacity limits, IPI, shipment creation, FNSKU and barcode management, AWD vs. FBA
— Hands-on purchasing experience with overseas manufacturers: raising POs, tracking production, reconciling deliveries
— Advanced Google Sheets/Excel. You build models, not just populate them (array formulas, pivot tables, QUERY, XLOOKUP/INDEX-MATCH, IMPORTRANGE). We will ask to see analyses you've built.
— Demonstrable AI fluency: real examples of AI saving you hours, and of catching it when it was wrong or hallucinating
— Experience with seasonal products and Christmas demand spikes
— Comfortable delegating and reviewing the work of others when needed
— Fluent English, written and verbal (Mandarin/Chinese a bonus for supplier communications in their native language)

** WORK SETUP **

Reliable electricity and 50+ Mbps internet, your own computer, and a quiet workspace. We run all tasks, processes, and reporting through ClickUp: it is our central hub for visibility across the team, and strong comfort with it is a requirement, not a nice-to-have. Working hours must overlap with China and UK hours (e.g., roughly 2pm to 10pm PH time, or a split shift like PHT 10am to 2pm & 6pm to 10pm). We're flexible on the shape, as long as the crossover is there.

** PERSONALITY WE'RE LOOKING FOR **

A logician's mind: structured, methodical, rigorous. Obsessively detail-oriented, so spotting an off barcode or an ambiguously worded supplier quote is your default mode, not an effort. The right fit is someone with real agency: you push for action, take ownership without waiting to be asked, and juggle parallel priorities without losing oversight of the details. An independent operator and self-starter who stays calm under pressure during peak-season spikes and shipping delays. Fully accountable. Always improving the system.

** NOT A FIT IF YOU **

— Need step-by-step instructions
— Are a generalist VA with peripheral supply chain exposure
— Have not personally managed an FBA supply chain “end-to-end”
— Find details tedious, or paste AI output without checking it
— Are juggling multiple other clients

** THE PACKAGE **

— Full-time, 40 hrs/week; bi-weekly salary (3rd and 18th of the month)
— $1,900 to $2,400+/month base (PHP 120,000 to 150,000+), equivalent to $11 to $14+ per hour, depending on experience
— 13th-month pay, pro-rated each December
— Health reimbursement up to $50/month (HMO, PhilHealth, Maxicare, etc.)

** HOW TO APPLY **

Complete the application form below. It includes a few short questions and two brief video uploads (you can submit partially and return to finish later):
