JOB OVERVIEW

Role Summary:

The Distribution Assistant supports the day-to-day management of distribution systems across The Set Collection member hotels. Previous hotel room reservations experience will be considered.

Working closely with the Distribution team, this role assists with maintaining rate and inventory connectivity, supporting hotel onboarding, troubleshooting distribution issues, and ensuring the accurate configuration of channels, GDS, and consortia programmes. The role acts as a key point of coordination between member hotels, system providers, and internal stakeholders to help maximise distribution performance and maintain data integrity.

Key Responsibilities:

• Support the daily operation of distribution systems, including CRS, GDS, channel managers and third-party distribution platforms.
• Assist with configuring and maintaining hotel, rate, room and channel mappings within distribution systems.
• Process and monitor GDS PCC mapping requests and verify successful activation.
• Support the loading, testing and maintenance of negotiated, consortia and promotional rates.
• Conduct test bookings and validate rate availability across booking channels.
• Investigate distribution issues relating to rates, availability, reservations and connectivity, escalating where appropriate.
• Liaise with member hotels, technology partners and system providers (e.g. SynXis, PMS providers and channel partners) to resolve technical issues.
• Support the onboarding of new member hotels, including system setup, configuration and testing.
• Monitor interface health and reservation delivery between CRS and PMS systems, assisting with troubleshooting failed interfaces.
• Perform regular audits of rates, amenities, benefits and distribution configurations to ensure accuracy and consistency.
• Maintain distribution documentation, trackers and operational procedures.
• Assist with implementing new distribution initiatives, integrations and system enhancements.
• Respond to member hotel enquiries regarding distribution, connectivity and booking channel performance.
• Support the maintenance of luxury travel programme configurations, including consortia and preferred partner programmes.
• Produce reports and provide administrative support for the Distribution team as required.
• Collaborate with internal teams including Commercial, Member Services, Sales and Marketing to ensure accurate distribution information across all channels.
• Maintain a high level of data accuracy and ensure all updates are completed within agreed service levels.

• Develop an effective and efficient Distribution strategy for the Set.
• Extensive GDS knowledge, including Sabre Mosaic & SynXis is mandatory
• Check GDS for property visibility and content to ensure best presentation of all properties
• Take ownership of Leonardo/L ---------- GDS and OTA distribution of images and content. Train properties on usage to ensure best presentation of our properties on different channels.
• Provide SynXis training to new properties, explaining Set standards, best practices and general system functionality.
• Pro-actively check parity between The Set (BE, TA portal), hotel BE, GDS and OTA’s (pricing, commission levels, inclusions)
• Improve conversion on The Set channels, BE, GDS rates, TA portal.
• Check cost of acquisition and optimize.
• Implement and maintain ticket system for support queries.
• SynXis user roles management and creation of property admin users
