We’re Hiring: Senior Executive Assistant to the CEO

Full-Time | Remote, Based in the Philippines | U.S. Pacific Time Hours

The Silicon Valley Chamber of Commerce & Innovation is seeking an exceptional Senior Executive Assistant to the CEO—an experienced professional who can serve as a trusted right-hand partner to the CEO.

This is not a routine administrative position. The Chamber operates in a fast-moving environment involving Board members, business executives, corporate partners, members, elected officials, community leaders, staff, volunteers, programs, events, partnerships, and economic-development initiatives.

The CEO manages many priorities and relationships simultaneously. She needs someone who can bring order to complexity, protect her time, anticipate what is needed, exercise mature judgment, coordinate work across the team, and ensure that important commitments are carried through to completion.

We are looking for someone who wants to become indispensable—not someone who simply completes assigned tasks. The successful candidate will be proactive, highly organized, technologically capable, warm and polished in communication, calm under pressure, and committed to becoming exceptional in the executive-assistant profession.

What You Will Do

Executive Partnership and Priority Management

* Serve as the CEO’s right-hand partner in managing priorities, commitments, communications, decisions, and daily execution.
* Understand the CEO’s goals well enough to anticipate needs, identify gaps, prepare next steps, and surface risks early.
* Protect the CEO’s time by determining what should be handled, delegated, deferred, escalated, or brought directly to her attention.
* Maintain reliable systems for tracking commitments, decisions, deadlines, projects, and stakeholder follow-up.
* Handle sensitive organizational, financial, personnel, stakeholder, and executive information with exceptional discretion.

Calendar, Meetings and Follow-Through

* Manage a complex calendar involving Board and committee meetings, business leaders, members, sponsors, elected officials, community partners, staff, programs, events, and travel.
* Evaluate scheduling requests, resolve conflicts, protect preparation time, and ensure the CEO has the necessary background and materials.
* Prepare agendas, meeting briefs, presentations, talking points, background information, and supporting documents.
* Attend selected meetings and take accurate, comprehensive notes in real time.
* Capture key discussion points, decisions, commitments, action items, responsible owners, deadlines, and open questions.
* Convert meeting notes into clear summaries and follow-up communications.
* Track action items through completion and provide the CEO with concise status updates.

Delegation and Project Management

* Translate the CEO’s direction into clear assignments, owners, deadlines, and expected outcomes.
* Coordinate work across staff, contractors, consultants, volunteers, vendors, and external partners—even when they do not report directly to you.
* Build project plans, task lists, timelines, dashboards, checklists, and recurring workflows.
* Monitor progress, identify stalled or overdue work, follow up respectfully, and escalate material concerns at the appropriate time.
* Create systems and documentation that improve accountability, consistency, and efficiency.

Executive and Stakeholder Communications

* Help organize and prioritize the CEO’s email, messages, documents, requests, and follow-up.
* Turn the CEO’s ideas, voice notes, meeting discussions, or rough drafts into polished communications.
* Draft and refine emails, letters, presentations, reports, newsletters, invitations, announcements, talking points, social content, and stakeholder updates.
* Adapt communication appropriately for Board members, members, sponsors, clients, elected officials, community leaders, staff, media, vendors, and the public.
* Serve as a professional extension of the CEO when authorized, without overstepping authority.
* Exercise mature judgment in determining what information may be shared, what must remain confidential, and what requires the CEO’s approval.
* Carefully proofread names, titles, dates, facts, links, attachments, branding, recipient lists, and distribution settings.

Technology, AI and Content Development

* Use Google Workspace at an advanced level, particularly Google Calendar, Gmail, Drive, Docs, Sheets, and Slides.
* Use AI tools such as ChatGPT, Claude, transcription platforms, presentation tools, and emerging content-development applications as part of your daily work.
* Use AI to improve research, drafting, analysis, organization, communication development, and workflow efficiency.
* Fact-check AI-generated material and protect confidential information.
* Create and update professional presentations, event materials, reports, invitations, templates, and social graphics using Canva.
* Maintain accurate member, sponsor, client, prospect, partner, and stakeholder information in CRM or membership-management systems.
* Use project-management platforms to assign work, track deadlines, monitor progress, and report status.
* Learn new technology quickly and recommend practical tools and processes that improve the organization’s work.

Billing and Administrative Operations

* Prepare and distribute approved invoices.
* Maintain accurate invoice, payment, and accounts-receivable trackers.
* Monitor outstanding balances and aging reports.
* Send professional payment reminders and consistently follow up on collections.
* Coordinate with the bookkeeper, staff, members, sponsors, clients, and vendors to resolve routine billing questions.
* Escalate disputed or significantly overdue accounts appropriately.
* Maintain organized electronic files, contracts, templates, meeting materials, contact lists, branded assets, and operational records.
* Support travel, registrations, expenses, appointments, and other agreed-upon executive logistics.

Required Experience and Qualifications

* A minimum of eight years of progressively responsible executive-support experience, with ten or more years strongly preferred.
* At least five years directly supporting a CEO, founder, C-suite executive, or similarly senior leader.
* A demonstrated history of operating as a trusted executive partner—not only completing administrative tasks.
* Exceptional spoken and written English, including strong grammar, listening comprehension, business writing, and professional verbal communication.
* Ability to understand fast-moving conversations, different speaking styles, business terminology, context, and tone.
* Fast and accurate typing ability of at least 70 words per minute.
* Excellent real-time meeting note-taking and the ability to identify decisions, commitments, owners, deadlines, and follow-up while listening.
* Demonstrated executive maturity, discretion, and judgment.
* Strong delegation, coordination, project-management, and follow-through skills.
* Advanced proficiency with Google Workspace, especially Google Sheets, including trackers, formulas, filtering, reporting, and dashboards.
* Daily, hands-on experience with AI tools such as ChatGPT or Claude.
* Working proficiency with Canva, CRM systems, project-management platforms, email-marketing tools, and modern communication applications.
* Working knowledge of invoicing, payment tracking, accounts-receivable aging, and professional collections follow-up.
* Reliable high-speed internet, a dependable computer, backup connectivity or power arrangements, and a professional remote-work environment.
* Ability to work a full-time schedule aligned with U.S. Pacific Time.
