ROLE OVERVIEW
We’re hiring a Virtual Assistant Accountant to work directly with our Senior Accountant and support the financial operations of the organization. This is a part-time role: approximately 20 hours per week with the potential to grow into a full-time position as our needs expand.
Right now, our accounting function depends heavily on our Senior Accountant preparing and reviewing everything herself. That creates a bottleneck—especially around month-end close, when we’re working toward our 20th-of-the-month deadline while other time-sensitive needs keep surfacing. You’ll come in and take real ownership of key preparation tasks, giving the Senior Accountant the time back she needs for higher-level analysis and decision support.
This isn’t busywork. You’ll be preparing reports that go to management and the board, supporting our annual audit, and helping us track performance across multiple projects. You’ll also be the second set of eyes that makes our financial reporting more reliable—a critical function in a nonprofit where accuracy and trust go hand in hand.
SCHEDULE & AVAILABILITY
This is a part-time role with flexible hours, but U.S. time zone overlap is important, especially at the start.
- Approximately 20 hours per week to start, with potential to increase to 30 hours during audit season or periods of high activity
- During onboarding: approximately 75% of hours should overlap with U.S. Mountain Time business hours
- Once established: approximately 50% overlap with U.S. business hours, with the remainder flexible

- Month-end close typically requires heavier availability around the 15th–20th of each month and audit fieldwork in February and March —plan accordingly.
WHAT YOU'LL DO
LEAP operates across multiple QuickBooks Online (QBO) entities and a growing portfolio of housing projects. Your work will touch all of them. Tasks are structured and recurring, but this is not a purely mechanical role; you’ll be expected to think critically, flag discrepancies, and bring solutions alongside problems.
1. Month-End Close Support (Primary Responsibility)
- Prepare monthly financial statements and reports in QuickBooks Online across LEAP’s five entities, with primary activity in two entities
- Support month-end close tasks to ensure books are closed by the 20th of each month
- Aid in managing intercompany transactions across entities
- Prepare and analyze cash flow forecasts versus actuals
- Flag discrepancies early and bring Senior Accountant a clear explanation plus a suggested path forward
2. Reporting & Financial Analysis
- Prepare monthly, quarterly, and annual financial reports for management, board meetings, and external stakeholders
- Prepare quarterly budget vs. actuals analysis to track performance against organizational goals
- Support reporting requirements for government agencies, funders, and grant compliance
- Conduct financial analysis to identify trends, cost-saving opportunities, and areas of risk
3. Affordable Housing Project Support
- Assist with draw requests for affordable housing development projects, including tying out development analyst schedules to QBO and budget vs. actuals
- Maintain detailed records of draw requests, approvals, and disbursements
- Collaborate with the development analyst on construction budget tracking as the role grows
4. Audit & Compliance Support
- Aid in LEAP’s annual audit process by preparing documentation and supporting schedules for auditors
- Maintain compliance with grant awards
- Support tax filing preparation, grant reporting requirements, and other regulatory obligations
5. Budgeting & Planning Support
- Collaborate with the asset management team to refine annual budgets and monitor actuals
- Provide support in budget preparation and monitoring to ensure alignment with organizational goals
What This Role Does NOT Include
To be clear about scope:
No authority to approve banking transactions, move funds, or make final accounting decisions—you can prepare and request; Senior Accountant and leadership approve
No supervision of other tea
No travel required
No external communication beyond occasional
WHAT WE'RE LOOKING FOR
LEAP hires unicorns. That’s not just a saying, it shapes how we think about every hire. For this role specifically, we need someone who combines technical accounting skill with genuine intellectual curiosity and the kind of initiative that doesn’t need to be prompted.
You’re a Fit If You:
- Hold a bachelor’s degree in accounting, finance, or a closely related field (required)
- Are a CPA or actively pursuing CPA certification (strongly preferred)
- Have at least 2 years of accounting experience, ideally with a U.S.-based organization—nonprofit experience is a strong plus
- Are proficient in QuickBooks Online (required) and comfortable in
- Have strong English communication skills, written and verbal—you’ll be working closely with the Senior Accountant and occasionally with other tea
- Are naturally detail-oriented and accurate, but also able to zoom out and understand the “why” behind the numbers
- See a problem and come to your manager with a suggested solution, not just the problem itself
- Are proactive about improving processes, not just maintaining them
- Can work independently once trained and take full ownership of delegated tasks
- Are comfortable with recurring structure AND with adapting when new reporting needs arise
- Have your own reliable computer, internet, and a private, professional workspace
This Role Is NOT a Fit If You:
- Need to be told every step to take and cannot self-direct once trained
- Are resistant to process changes or organizational growth
- Have weak English communication—we are not bilingual, and clarity matters
- Take a “that’s not my job” approach—everyone at LEAP wears multiple hats and supports each other
- Are looking for a purely repetitive, check-the-box role with no critical thinking involved
TOOLS YOU'LL WORK WITH
Proficiency in QuickBooks Online is required on day one. Everything else can be learned, but comfort with modern technology and cloud-based tools is essential.

YOUR FIRST 90 DAYS
Onboarding takes time here—we know that, and we’re committed to setting you up to succeed. LEAP operates across multiple entities with a growing project portfolio, and understanding how it all fits together is the foundation for everything else.
- Month 1 (Days 1–30): Shadow Senior Accountant’s workflows; learn LEAP’s five QuickBooks entities and how they relate; identify the top three to five revenue sources and major expenditure categories; understand how each report serves the organization
- Month 2 (Days 31–60): Begin preparing reports with Senior Accountant reviewing; start month-end close tasks with guidance; ask questions early and often—we’d rather you ask than guess
- Month 3 (Days 61–90): Take increasing ownership of preparation tasks; Senior Accountant moves from doing to reviewing; formal 90-day performance check-in

COMPENSATION & BENEFITS

Months 1–3 (Onboarding): $7.25/hour
After Successful Onboarding: $8.00/hour
12-Month Review: $9.00+/hour (based on performance and scope)
Raises are tied to performance, expanded responsibilities, and tenure—not just time. We want you to see exactly what you’re working toward, and we’ll build that out together in your first review.
Over the next 3 - 5 years, this individual could progress in their role with more strategically focused responsibilities at full time and at a higher compensation ranging from $34,000 USD ($2M Philippine pesos) to $45,000 USD ($2.7M Philippine pesos) annually.

COMMUNICATION & ACCOUNTABILITY
At LEAP, we communicate directly, support each other genuinely, and hold ourselves accountable. That culture extends to this role, even across time zones.
- Daily
- Weekly virtual check-in with Senior Accountant (video call). Once you’re established, this can shift to as-needed plus a written recap
- Direct access to Senior Accountant for questions and guidance. You’re expected to try first, but support is always available
- Monthly one-on-one to review your workload, performance, and professional growth
- Formal reviews at 6 months, and 12 months
We don’t believe in micromanagement, but we do believe in staying connected. The expectation is that once you’re trained, the Senior Accountant can trust that what she delegates gets done—accurately and on time—without having to follow up.

LEAP is growing, and this role grows with it. Right now, this is part-time and focused on core accounting support. But the trajectory is clear: as our project portfolio expands and the role proves its value, there is a realistic path to:

- Supporting financial education and analysis across LEAP’s broader team
- Becoming LEAP’s in-house subject matter expert on organizational finances—the go-to person that leadership trusts for financial insight
