Job Overview: We are seeking a highly organized and detail-oriented Accounts Manager to keep our real estate investment accounts accurate and up to date. You will own the day-to-day trust, property management and operating finance across Xero and PropertyMe, and prepare the clean, decision-ready reporting packs our leadership uses to run the business. This remote position allows you to work from the comfort of your home and collaborate with our team.
Role and Responsibilities:
1. Trust Accounting
- Daily trust reconciliation (bank vs cashbook)
- Maintain audit-ready trust ledger integrity
- Mid-month and end-of-month trust disbursements (owner payments)
- Trust transaction controls to prevent misallocations
- Investigate and resolve discrepancies quickly with clear root-cause notes
- Prepare trust reporting packs for leadership
2. Property Management Accounting (PropertyMe)
- Reconcile bank feed inside PropertyMe daily
- Process mid-month and end-month disbursements accurately and on time
- Upload and process batch payments
- Charge tenant invoices (water, rent increases, damages, contractor invoices etc. per process)
- Create tenant receipts promptly when rent is paid
- Process, track, and pay supplier invoices and bills (including approvals workflow)
- Set and maintain fees in PropertyMe correctly (management fees, letting fees, inspection fees, etc.)
- Monitor and manage tenant arrears daily
- Communicate with tenants regarding arrears in line with NZ legislation and NZPB standards
- Follow up and track audit bills due / outstanding charges
3. Operating Finance (Xero)
- Daily/weekly reconciliation and ledger integrity in Xero
- Upload and attach receipts; maintain clean source documentation
- Create bills in Xero; manage approvals workflow
- Upload batch payments and maintain payment accuracy
- Create and issue client invoices; ensure correct descriptions and coding
- AR follow-up (in coordination with Chief of Staff) to protect cashflow
- Payroll processing and payroll controls
- Prepare GST returns (accountant files annual tax)
4. Reporting Preparation
- Populate the weekly CEO dashboard from the established template: cash position, runway, receivables, payables, key items to flag
- Produce divisional P&L reports (Buyers Agency, Property Management, Project Management) off the existing Xero coding structure
- Populate margin tracking per service line
- Update staff cost ratio tracking
- Refresh the rolling 12-month cashflow forecast each month by loading actuals into the existing model
- Reconcile forecast to actuals and surface material variances for leadership review
- Flag potential cost leakage and savings opportunities for review
5. Client & Data Management
- Add owners, properties, tenants, suppliers correctly in PropertyMe and inside ClickUp
- Lodge bond forms to Tenancy Services bond centre (as required by process)
- Maintain clean entity records and contact details for reporting and compliance
- Client game plan / strategy data input
Note: This role prepares clean, accurate, decision-ready reports. The forecasting assumptions, commentary and decisions on these packs sit with leadership. You are not expected to own the financial interpretation but you do need enough commercial literacy to sense-check figures before they go up.
First 90 Days (Success Measures)
- Trust and PropertyMe reconciliations completed daily, with no unexplained discrepancies at month-end
- Weekly reporting pack delivered accurately and on time from templates
- At least 3 cost-saving opportunities surfaced for leadership review
Non-Negotiables:
- 3+ years of Accounting / Bookkeeping experience
- Degree in Accounting / Finance or a similar field
- Advanced experience with Xero
- Experience with Property Management
- Advanced Google Sheets (pivot tables, model population, formula-driven reporting)
- Comfortable populating reports and dashboards from templates, with the commercial literacy to sense-check the numbers
Highly Desirable:
- Understanding of NZ GST processes and property management accounting workflows
- Able to use ClickUp as an internal project management tool
- AI experience, and open to learning more
- Tools Involved: Xero, Hubdoc, Claude, PropertyMe, ClickUp, Google Workspace
What We Offer

- Working Hours: roughly 6am to 2pm Manila (5am to 1pm during NZ daylight saving) - NOT FLEXIBLE
