About the Role
We are a high-volume US fence, deck, and railing company looking for a detailed, highly organized Decking/Railing Administrative Assistant to run the back-end logistics for our decking and railing department. You will serve as the operational engine, bridging the gap between sales reps, installers in the field, and back-end tracking.
Key Responsibilities
1. Simple 3D Layouts & Material Lists
* Use our user-friendly software (Luxwood) to build basic 3D deck/railing project layouts (we will train you step-by-step!).
* Adjust layout specs (hardware, cross-sections) as needed based on job requirements.
* Enter accurate material lists directly into our tracking system.
2. Field & Installer Coordination
* Put together complete, organized job packets for our installation crews before they head to the site.
* Coordinate material order lists (bolts, screws, extra hardware) with installers via Home Depot.
* Schedule installation appointments in our system, attach job documents, and upload finished photos once completed.
3. Back-End Admin & Inspections
* Keep our Deck & Railing Quote Queue and Markout Tracking Google Sheets strictly up to date.
* Make routine outbound phone calls to local municipal offices/townships to schedule project inspections.
* Issue final customer invoices upon job completion.

*Fast Learner & Tech-Savvy:* You navigate new software quickly and love organized systems. High proficiency in Google Sheets/Docs is required.
*Extreme Attention to Detail:* You double-check your work. Accurate numbers, complete packets, and precise lists give you deep satisfaction.
*Clear English Communication:* Excellent written and verbal English. You will be comfortable picking up the phone to call town offices and inspectors.
*Proactive Ownership:* You don't wait to be micromanaged. You step up, clear your queue, and solve problems proactively.

Hours & Compensation
*8:00 AM to 4:00 PM Eastern Standard Time (EST), Monday through Friday. Full time.
*40 hours per week.
