Role Overview
You are responsible for maintaining operational control and visibility over a fleet of more than 1000 trailers across multiple carriers, drivers, terminals, and customer locations. Working closely with the US Trailer Lead, you will oversee trailer tracking, reconciliation, utilization, maintenance and repair coordination, documentation, and operational escalations while guiding tea
What You’ll Be Doing
Trailer Visibility and Operational Control
• Own the daily monitoring, updating, and reconciliation of trailer locations and statuses across the network
• Ensure every trailer is properly assigned, accounted for, and accurately reflected in internal tracking systems
• Coordinate with route supervisors, internal team, carriers, dispatchers, drivers, terminals, customers, maintenance providers, and other operational teams
• Investigate missing trailers, incorrect locations, unreported movements, and conflicting system information
• Identify trailers that are idle, underutilized, unavailable, damaged, or incorrectly assigned
• Evaluate operational impact of trailer defects and determine whether equipment can continue operating, requires inspection, or must be placed out of service
• Escalate operational risks promptly and follow through until resolution
• Support trailer repositioning and availability planning based on operational demand
• Ensure repaired trailers are properly cleared, documented, and returned to service
Maintenance, Repairs, and Compliance
• Track preventive maintenance schedules, repair status, inspections, registrations, tags, and insurance documentation
• Maintain awareness of common dry van and refrigerated trailer components, defects, and repair needs
• Understand common trailer parts and systems, including tires, wheels, brakes, lights, electrical connections, air lines, doors, hinges, latches, landing gear, suspension, mud flaps, roof and side panels, floors, seals, refrigeration units, and structural components
• Review driver, terminal, or vendor reports to identify the nature and urgency of trailer defects
• Ask appropriate follow-up questions and request photos, inspection details, estimates, or supporting documentation when needed
• Coordinate with the Fleet Repair, Safety, Maintenance, and Compliance teams regarding repair and equipment concerns
• Determine the appropriate next steps by coordinating roadside service, mobile repair, terminal repair, vendor appointments, inspections, trailer swaps, or equipment repositioning
• Follow up with vendors regarding diagnoses, repair estimates, required parts, approval status, estimated completion times, and return-to-service timelines
• Monitor parts availability and repair delays that may affect trailer downtime or operational capacity
• Ensure repairs are completed correctly and that supporting invoices, photos, inspection reports, and repair records are collected
• Identify repeated repairs, recurring defects, vendor concerns, and trailers with excessive downtime
• Ensure out-of-service, damaged, or overdue trailers are properly documented and communicated
• Maintain complete and accurate trailer maintenance and repair histories across all required systems
• Identify upcoming documentation, inspection, or maintenance deadlines before they become compliance issues
• Escalate repair costs, safety concerns, repeat failures, or extended downtime to leadership promptly
Leadership and Team Support
• Help guide and support Trailer Management Admins during daily operations
• Review team updates for accuracy, completeness, and timely execution
• Assign or coordinate trailer related follow ups when directed by the US Trailer Lead
• Provide coaching and clarification when tea

• Review repair-related updates to confirm that the reported issue, next step, vendor status, estimated completion time, and operational impact are clearly documented
• Help maintain accountability for unresolved discrepancies and overdue updates
• Serve as an escalation point for complex trailer tracking, reconciliation, maintenance, and repair concerns
• Make informed recommendations when a trailer should be repaired, swapped, repositioned, held, or removed from service
• Provide operational coverage when the Trailer Manager is unavailable
• Ensure the team follows repair authorization, documentation, and vendor communication procedures
Reporting and Process Improvement
• Prepare and review reports related to trailer utilization, downtime, availability, maintenance, repairs, and compliance
• Conduct regular audits to ensure system data matches actual trailer locations, conditions, and repair statuses
• Track open repairs, repair aging, recurring defects, parts delays, vendor response times, and trailers awaiting return to service
• Identify recurring breakdowns, equipment failures, communication gaps, vendor issues, or process weaknesses
• Analyze repair trends to help reduce repeated failures and unnecessary downtime
• Recommend improvements to trailer tracking systems, repair workflows, reports, escalation procedures, and standard operating procedures
• Help create and maintain clear Trailer Management, maintenance, and repair processes and documentation
• Communicate repair trends, costs, risks, equipment concerns, and unresolved issues to operational leadership
• Ensure reports are accurate, structured, and actionable and not simply lists of data
• Help establish clear expectations for documenting defects, approving repairs, monitoring vendors, and returning trailers to service
What Success Looks Like
• Trailer locations and statuses are consistently accurate and fully reconciled
• Missing, idle, damaged, out-of-service, or incorrectly assigned trailers are identified and addressed quickly
• Trailer assignments, availability, movements, and repair statuses are documented in real time
• Maintenance, repair, and compliance records remain complete and current
• Trailer defects are properly assessed, communicated, escalated, and resolved
• Repair vendors receive clear information and are followed up with consistently
• Required parts, repair approvals, and completion timelines are closely monitored
• Repaired trailers are returned to service safely and promptly
• Operational discrepancies are resolved before affecting customers, drivers, or freight movement
• Trailer utilization improves while unnecessary repair delays and downtime are reduced

Who We’re Looking For
• Direct experience in trailer management, fleet operations, dispatch, transportation, maintenance coordination, or another live logistics environment
• Experience managing or monitoring a high volume of trailers and repairs
• Strong familiarity with common trailer repairs, trailer parts, equipment defects, and maintenance terminology
• Ability to understand repair concerns and coordinate appropriate solutions without performing the repairs personally
• Familiarity with dry van and refrigerated trailer systems, including tires, brakes, lighting, electrical systems, air lines, landing gear, doors, suspension, structural components, and refrigeration units
• Ability to review photos, driver reports, inspection findings, vendor diagnoses, and repair estimates
• Ability to determine whether a reported issue requires roadside assistance, a mobile mechanic, a terminal repair, a trailer swap, an inspection, or an out-of-service designation
• Experience coordinating with repair vendors, maintenance providers, drivers, terminals, and internal safety teams
• Previous leadership, team coordination, or senior specialist experience is strongly preferred
• Strong operational judgment and the ability to make informed decisions without constant supervision
• Excellent attention to detail and a high level of accuracy in tracking and record-keeping
• Strong analytical, troubleshooting, and problem-solving skills
• Ability to investigate discrepancies by comparing information across multiple systems and sources
• Clear and professional communication skills across drivers, dispatchers, terminals, vendors, maintenance teams, and leadership
• Ability to prioritize urgent safety and repair issues while maintaining routine responsibilities
• Experience creating reports, conducting audits, monitoring repairs, or improving operational processes
• Familiarity with Samsara, LoadStop, or similar transportation management and asset-tracking platforms is preferred
• Proficiency in Microsoft Office, Google Workspace, and logistics-related systems
• Minimum typing speed of 50 WPM
• Reliable internet connection and a fully equipped remote workspace

Schedule and Work Setup
• Long term and full time remote independent contractor role
• Direct engagement with a US company, not an agency or BPO
• Current shift availability: Wednesday - Monday 7 AM - 5 PM CDT
• Possible shifts (only when specifically assigned): 3 PM - 1 AM CDT & 11 PM - 9 AM CDT
• Consistent availability during the assigned US shift is required
• Zoom presence with camera on throughout the shift is required
• Time tracking software, including Hubstaff or another platform, may be implemented as operationally required
