Executive Tech VA / Senior Tech VA – AI Implementation & Automation
Job Title: Executive Tech VA / Senior Tech VA – AI Implementation & Automation
Job Type: Part-Time | Remote | Contract
Compensation: $10–$20/hour (Depending on experience and technical capability)
Hours: 15–25 hours per week (with potential to increase based on workload)
About the Role
We are looking for a highly skilled Executive Tech VA / Senior Tech VA to serve as a technical implementation partner for an AI implementation and growth consultancy that works with small business owners, coaches, speakers, real estate professionals, and other service-based businesses.
This is not a task-based virtual assistant role.
You will work alongside the founder during client engagements, participating in discovery and strategy sessions, helping shape technical solutions, and owning implementation from concept through launch. The ideal candidate understands business goals before selecting tools, thinks strategically, communicates confidently with clients, and takes full ownership of technical delivery with minimal supervision.
Projects typically range from $500 to $10,000 and focus on AI implementation, automation, CRM systems, and business process optimization.

Key Responsibilities
• Participate in client discovery and strategy calls to identify business challenges and technical opportunities.
• Ask thoughtful, consultative questions that uncover the client's real operational needs.
• Translate business objectives into scalable technical solutions and implementation plans.
• Design and build CRM systems using GoHighLevel, including pipelines, workflows, automations, forms, calendars, and triggers.
• Build and deploy Voice AI solutions, AI receptionists, AI SDR workflows, and conversational AI agents.
• Create workflow automations using platforms such as n8n, ---------- , and Zapier.
• Configure integrations using APIs, webhooks, and third-party applications.
• Implement SMS and email automation, including Twilio integrations.
• Perform comprehensive end-to-end testing, quality assurance, troubleshooting, and optimization before launch.
• Create clear documentation and client-facing SOPs for every implementation.
• Train clients on their systems and provide post-launch support.
• Continuously monitor implementations and recommend improvements or expansion opportunities.
• Provide proactive weekly project updates outlining completed work, upcoming milestones, and any dependencies requiring client attention.

Required Qualifications
Experience
• Minimum 3 years of experience building client-facing automation, CRM, or AI implementation systems in an agency or consulting environment.
• Demonstrated experience designing complete systems rather than simply implementing predefined specifications.
• Comfortable participating in client meetings and presenting technical solutions in clear, non-technical language.
Technical Skills
• Strong expertise with GoHighLevel, including:
o CRM architecture
o Pipelines
o Workflows
o Forms
o Surveys
o Triggers
o Calendars
o Booking systems
• Advanced experience with at least two automation platforms:
o n8n
o ----------
o Zapier
• Experience building Voice AI implementations and conversational AI agents.
• SMS and email automation, including Twilio.
• API integrations and webhook configuration.
• Experience working with OpenAI APIs or equivalent AI platforms.
• Strong testing, QA, debugging, and troubleshooting skills.
• Experience creating documentation and SOPs.
Soft Skills
• Excellent written and verbal English communication.
• Comfortable leading technical discussions during live client meetings.
• Strong systems thinking and problem-solving ability.
• Ability to recommend better technical approaches rather than waiting for instructions.
• Excellent project ownership and time management.
• Able to work independently while providing proactive communication throughout projects.

Preferred Qualifications
Candidates with experience in any of the following will be highly regarded:
• HubSpot or BoldTrail
• Real estate, coaching, consulting, or professional services clients
• Dashboard and reporting implementation
• Landing pages and website development using:
o GoHighLevel Funnels
o WordPress
o Webflow
o Similar website builders
• Google Business Profile optimization and review automation
• Light custom development using JavaScript or Python
• Training clients after implementation and system handoff

Success Metrics (KPIs)
Success in this role will be measured by:
• Consistent on-time delivery against agreed project milestones.
• High-quality implementations with minimal post-launch issues.
• Strong client satisfaction, confidence, and communication throughout delivery.
• Complete documentation and SOPs provided for every implementation.
• Fast delivery of meaningful client results after project kickoff.
• Reduction in founder involvement during technical implementation.
• Increased client retention and opportunities for follow-on projects.
