Hourly Rate: $9/hr with pay review at 6-month mark, flexible for the right candidate

Mission Statement
The Candidate Assistant is the operational support foundation of the Nanny Agency onboarding and vetting pipeline. This role is responsible for executing key vetting, compliance, documentation, and workflow coordination tasks that ensure candidates move efficiently, accurately, and professionally through the onboarding process.
By maintaining strong attention to detail, operational consistency, and candidate communication standards, the Candidate Assistant supports the integrity and scalability of the recruitment pipeline while contributing to a seamless and supportive candidate experience.
This role partners closely with the Vetting Manager and Onboarding Coordinators to ensure candidate records, vetting materials, and onboarding workflows remain organized, accurate, and aligned with company standards. We're promoting one of our Manila-based tea
Key Strengths:
- ability to communicate fluently in English, both verbal and written without the use of translation tools or AI - prior work with phone systems
- access to a working laptop and smartphone (and backup power system if based outside of Manila)
- familiarity with cloud-based tech platforms including Airtable, Asana, Streak, Grasshopper or other VOIPs, Slack and Google Drive
- basic familiarity and comfort with LLMs
- confidence and comfortability handling sensitive and confidential information
OUTCOMES
Candidate Vetting & Operational Support:
- Execute assigned vetting and onboarding tasks accurately, efficiently, and in alignment with company standards and SOPs.
- Support candidate progression through document collection, internet screens, profile editing, verification processes, reference coordination and collection, and workflow coordination.
- Ensure candidate files remain organized, complete, and audit-ready throughout the onboarding process.
- Escalate discrepancies, missing information, or operational concerns proactively to the Vetting Manager.
- Onboard a minimum of 5 candidates weekly and maintain an average onboarding timeline of less than 2 weeks per candidate.
Workflow Accuracy & Organization:
- Maintain organized, accurate, and up-to-date candidate records, statuses, documentation, and CRM information.
- Ensure all onboarding materials, uploads, and candidate communications are completed in a timely and consistent manner.
- Support operational consistency by following established workflows, templates, and onboarding procedures.
- Minimize administrative errors through strong attention to detail and quality-control practices.
Candidate Experience & Communication
- Maintain professional, timely, and supportive communication with candidates throughout onboarding and vetting processes and in ongoing communication through their search
- Help create a positive and organized onboarding experience that reflects Adventure Nannies brand standards.
- Support candidates through onboarding tasks while maintaining professionalism, responsiveness, and clear communication expectations.
- Ensure candidates feel informed, respected, and guided throughout the onboarding process.
Team Collaboration & Support:
- Partner closely with the Vetting Manager, Onboarding Coordinators, and Candidate Team to support healthy pipeline movement and onboarding efficiency.
- Assist with operational tasks and workflow priorities based on active search volume and team needs.
- Maintain flexibility and responsiveness in supporting evolving team processes and priorities.
- Contribute to a collaborative, solutions-oriented team environment.
Operational Excellence & Continuous Improvement:
- Follow all onboarding, vetting, and documentation SOPs consistently and accurately.
- Support process improvement efforts by identifying workflow inefficiencies, recurring candidate questions, or operational bottlenecks.
- Maintain professionalism, accountability, and responsiveness across all internal and external communication.
- Demonstrate reliability and consistency in task ownership and day-to-day workflow execution.
