About the Role:
We are looking for a highly organized, detail-oriented Real Estate Virtual Assistant / Transaction Coordinator to support a busy U.S. real estate agent. This is a fast-paced role requiring someone who can manage transactions, coordinate listings, communicate professionally with clients and vendors, and keep every deal moving forward from listing to closing. The ideal candidate is proactive, an excellent communicator, and comfortable juggling multiple priorities without constant supervision.

Responsibilities:
--Manage real estate transactions from listing to closing, including preparing deal sheets, contracts, disclosures, lease renewals, listing paperwork, and obtaining digital signatures.
--Coordinate with buyers, sellers, attorneys, lenders, title companies, cooperating agents, vendors, and internal tea ---------- mbers to ensure transactions stay on schedule.
--Monitor deadlines, follow up on outstanding documents, and maintain accurate transaction records.
--Create, update, and manage MLS listings, including property details, pricing, statuses, photos, captions, open houses, and listing documentation.
--Prepare Comparative Market Analyses (CMAs), MoxiPresentations, listing presentations, and research property information, taxes, comparables, and market data.
--Coordinate property marketing by requesting and organizing brochures, flyers, social media graphics, signs, AI-enhanced listing images, and other marketing materials.
--Manage the agent's email inbox by prioritizing, organizing, responding to messages, and following up with clients, agents, vendors, and service providers.
--Schedule showings, inspections, open houses, appointments, and calendar events while coordinating with all parties involved.
--Answer buyer, seller, tenant, and agent inquiries via phone, email, and text with professionalism and excellent customer service.
--Maintain CRM records, contact databases, mailing lists, digital files, and transaction documentation.
--Conduct administrative and research tasks, coordinate with photographers, sign companies, marketing teams, and other vendors, and perform other duties as assigned.
