Who we are. We’re a love coaching practice for professional women over 40. We run coaching programs, a membership, live events, and international retreats, and almost everything we do runs through GoHighLevel (white-labeled for us as ConvertAndFlow), connected to Spiffy, ---------- , Zoom, Slack, and Canva.

The honest problem we’re hiring you to fix. Right now our GHL work is split across the team and built reactively, launch by launch. Pages, workflows, tags, and payment automations get built fast under deadline, so things break, get missed, or live only in one person’s head. No one owns email deliverability. No one owns the evergreen sequences that should run without us. And too little gets documented. We’re hiring one person to take all of that off the team’s plate and turn it into one owned, tested, documented system.

This is an ownership role, not a task list. You’ll audit what exists, tell us what’s wrong, and build what’s next without waiting to be asked.

What you’ll own

• Email deliverability. Keep us landing in the inbox, not spam. Authentication, list hygiene, engagement-based sending, sunset policies for unengaged contacts, and healthy sending practices. This is our single biggest gap, so it’s your first priority.
• Tagging and segmentation. A clean, logical CRM structure where every tag means something and our lists can actually be trusted.
• Evergreen nurture sequences. Email and SMS that run on their own and move people toward our programs, events, and retreats. Welcome, reactivation, and post-event flows that don’t need us to press send.
• Pages. Landing, funnel, checkout, and thank-you pages built inside GHL, including payment plans, discount codes, and clean Spiffy-to-ConvertAndFlow handoffs. Templatized so launches stop being built from scratch every time.
• Workflow QA. Every automation tested before it goes live, not debugged after. No more “it’s not working” surprises on launch day.
• AI-assisted automation. Build and improve AI-assisted follow-up and messaging, and help keep our ---------- scenarios running.
• SOPs. Document every system as you build it, unprompted, so a non-technical teammate can follow it.

Week to week

• Support our weekly Tuesday webinar loop: after each one, update the landing page and ads and adjust the next campaign
• Build and troubleshoot workflows, tags, and pages for upcoming launches, events, and retreats
• Monitor deliverability, engagement, and drop-off, and report what the numbers say
• Proactively flag gaps and recommend the next build

You’re a strong fit if you

• Have proven, hands-on GoHighLevel experience and can show real builds
• Understand CRM logic, conditional workflows, and tagging deeply
• Genuinely understand email deliverability, not just email sending
• Document as you go and think in systems, not tickets
• Are proactive: you spot the broken thing and fix it before it’s assigned

How we work

Part-time, long-term, remote, deliverable-based. Required team huddles Mon 9am EST and Tue, Thu, Fri 9:30am EST. We start with one small paid test build before committing long term.

What success looks like

• First 30 days: full audit of our GHL location, deliverability basics fixed, tagging cleaned up, and what exists documented.
• By 60 days: an evergreen nurture engine live, and launch pages templatized so we stop rebuilding from scratch.
• By 90 days: AI-assisted follow-up running, Make scenarios stable, and an SOP library covering every core system, with you bringing us the next build before we ask.
