Right-Hand Support to the Founder | OctoHero AI

OctoHero AI is seeking a highly trustworthy, proactive, and technically capable Executive Marketing and Operations VA to serve as the founder’s right hand.

Primary Responsibilities:

Build and maintain GoHighLevel system for OctoHero and their New Clients:
Custom Pipeline, Fields, Tags, Calendars and Workflows
Onboarding forms (Package-specific for OctoHero)
Service agreements docs w/ electronic signatures
Stripe and ACH Payments links set up in GHL
Automated reminders, notifications, and follow-up sequences
Reputation Management
Landing Page Development
Social Media Management (automate for OctoHero)
Marketing Campaign Management

Help create an organized proposal portal (with prompt library) that allows us to quickly generate customized market research, revenue projections & package proposals for our Prospect. Currently Done in Chatgbt but would like our own portal for this --perhaps created with Claude or Lovable.

When the GHL infrastructure & Proposal Creation systems are built, your main task will be Marketing Campaign Development & Mgmt. You will work closely with our Sales Growth Co-Ordinator/Appt. Setter & Client Campaign Manager.…

( you build and launch the outreach campaigns, she handles the responses, followup and appt. setting for our Sales Team.)

Occasional Website Edits in ---------- v and other tasks concerning the website

Help manage the founder’s calendar, priorities, meeting notes, follow-ups, important deadlines, and other tasks as needed

The Person We Need
We need someone who can help organize the company, build repeatable systems, protect confidential business information, and turn ideas into organized, working processes. The right person will anticipate needs, solve problems independently, and follow projects through to completion without constant supervision.

The ideal candidate is exceptionally honest, super cheerful, optimistic, discreet, organized, resourceful, and dependable. You must be comfortable handling confidential client, financial, operational, and company information. Mention Octo if you should d ---------- to respond. You should have strong written and spoken English ability, excellent attention to detail, expert experience with GoHighLevel, and the ability to learn new technology quickly. Experience with ChatGPT, Lovable, Claude, Google Workspace, Stripe, Zapier or Make, Canva, LinkedIn Sales Navigator, Facebook, Instantly Email Marketing or similar and project management platforms is highly preferred.

Most importantly, we need someone who takes ownership. We do not want a person who simply waits for instructions. We want a trusted partner who notices what needs to be done, is proactive, recommends better systems, communicates clearly, and helps us build a more organized, automated, and scalable company.
