We are seeking a detail-oriented and dependable Virtual Assistant to provide administrative support for our daily operations.

This role is primarily responsible for managing documentation, maintaining organized records, and ensuring internal workflows remain efficient. While occasional customer interaction is part of the role, the primary focus is delivering accurate and consistent administrative support to the team.

What We're Looking For:
- Previous experience with an HVAC, field service, or trade-based company (HVAC, plumbing, electrical, property maintenance, energy installation, or similar service businesses) is a MUST
- Excellent written and spoken English
- Experience as a Virtual Assistant, Administrative Assistant, Operations Coordinator, or a similar admin role
- Strong attention to detail and accuracy
- Excellent organization, time management, and multitasking skills
- Quick to learn new tools, software, and processes
- Experience handling permits, rebate applications, compliance documents, warranties, or other service-related paperwork

What You'll Do:
- Process warranty registrations for HVAC and related equipment
- Prepare and submit rebate applications
- Keep digital records organized and up to date
- Help improve workflows and internal processes
- Create, schedule, and manage social media content
- Prepare and send invoices after completed jobs
- Provide administrative support and assist customers when needed

Work Schedule:
- Full-time remote role
- 8-hour workday, 5 days per week (US Business Hours)
