JOB OVERVIEW

Job Description:
Australian-based startup company seeking a reliable, proactive Virtual Assistant with project management capabilities in the Philippines for ongoing remote administrative, automation, and operational support in a Microsoft 365 environment.
This is a flexible, long-term remote role starting as part-time with scaling to full-time after a two week trial period.

Key Responsibilities:
Email and calendar management using Outlook and Teams
• Data entry, document preparation, weekly progress reports, and collaboration in Word, Excel, PowerPoint, SharePoint/OneDrive
• Managing progress of projects and reporting potential risks
• Identifying and implementing automation opportunities (e.g., using Power Automate, scripts, templates, or AI tools to streamline workflows)
• Leveraging AI tools (ChatGPT, Copilot, or similar) for reporting, content drafting, data analysis, and efficiency improvements
• Scheduling meetings, managing client communications, and supporting some MSP-related admin tasks
• Basic research tasks (tools, compliance, market info)
• Client inquiry handling and general virtual assistance
• Ad-hoc admin tasks (note-taking, documentation, etc.)

Requirements:
• Based in the Philippines with stable high-speed internet (minimum 10 Mbps)
• Willing to provide National Police Clearance (Police Check) and be ID verified
• Excellent written and spoken English
• Flexible and takes initiative to learn
• Strong hands-on experience working in a Microsoft 365 environment (Outlook, Teams, Word, Excel, PowerPoint, SharePoint/OneDrive, Power Automate)
• Exposure in supporting or working within a Managed Service Provider (MSP) environment (client ticketing, documentation, IT admin support)
• Exposure to automation tools and AI (e.g., Power Automate, Microsoft Copilot, or equivalent)
• At least 1+ years experience as a Virtual Assistant or in administrative/IT support roles
• Highly organised, detail-oriented, proactive, and able to work independently
• Strong communication and time management skills

Preferred:
• Experience working for a startup
• Hands on project management experience
• Advanced Excel skills (formulas, pivot tables, dashboards, Power Query)
• Demonstrated experience with automation tools and AI (e.g., Power Automate, Microsoft Copilot, or equivalent)
• Familiarity with additional MSP tools (ticketing systems, RMM, PSA software)
• Experience optimising processes with automation/AI

Compensation & Hours:
• Competitive hourly rate: AUD $10–18 (higher for strong M365 + MSP + Automation/AI skills)
• Starting at 20 hours per week (5 hours/day over 4 days, e.g. Monday–Thursday) during 2 week paid trial period
• Strong preference for candidates open to moving to full time 30-40 hours/week (5 days)
