Operations Coordinator
Remote | Full-Time
Hours: 9:00 AM - 6:00 PM PST (Los Angeles, CA time zone), Monday - Friday
We are a fast growing US based therapy practice supporting home health agencies and healthcare partners across multiple states. Our leadership team manages operations, staffing, agency relationships, and business development.
We are looking for a highly organized, proactive, and dependable Operations Coordinator who will work closely with the CEO and leadership team to help manage communication, research, coordination, and execution across multiple departments.
The ideal candidate is resourceful, detail oriented, and able to think independently while maintaining excellent communication and organization. This role requires someone who can prioritize tasks, follow up consistently, coordinate with multiple departments, and help keep business operations running efficiently with minimal supervision.
Key Responsibilities
-Work closely with the CEO to help coordinate daily business priorities, operational tasks, and strategic initiatives.
-Help keep track of projects, action items, and follow ups to ensure deadlines are met and important tasks are completed.
-Coordinate communication across departments including Marketing, Call Department, HR, Staffing, QA, Billing, and Operations.
-Manage follow ups with internal team members, agencies, vendors, partners, and external contacts.
-Monitor department updates, task progress, deadlines, and recurring issues, then communicate key updates to the CEO and leadership team.
-Organize information, updates, and decisions into clear summaries, reports, trackers, and action items.
-Help maintain team accountability by following up on pending tasks and keeping leadership informed of progress and delays.
-Manage and respond to business email professionally on behalf of the CEO as assigned.
-Make outbound calls to agencies, businesses, partners, vendors, and team members as needed.
-Conduct research on businesses, vendors, healthcare agencies, competitors, market opportunities, and operational tools.
-Support business development efforts, including agency outreach, lead research, partnership coordination, and follow ups.
-Coordinate schedules, meetings, and business priorities while understanding what requires immediate attention and what can be scheduled later.
-Assist with special projects, process improvements, SOP creation, internal systems, and operational improvements.
-Provide operational and administrative support to the CEO and leadership team as business needs evolve.
-Handle sensitive business, employee, contractor, and client information with professionalism and confidentiality.
Requirements
-Strong English communication skills with minimal accent.
-Confident, professional, and clear during phone conversations.
-Highly organized, detail oriented, and able to manage multiple priorities simultaneously.
-Strong follow up skills and ability to keep projects moving without constant reminders.
-Excellent research, problem solving, and critical thinking skills.
-Able to work independently, make sound decisions, and recognize when to escalate concerns.
-Comfortable communicating with different departments and personalities professionally.
-Able to adapt quickly to changing priorities in a fast paced environment.
-Proficient in Google Workspace.
-Strong Google Sheets skills, including formulas, trackers, reporting, and data organization.
-Comfortable using WebWork time tracker and other productivity tools.
-Professional, reliable, trustworthy, and able to maintain confidentiality.
Preferred Qualifications
-Experience working in a fast paced environment is an advantage.
-Experience in operations, project coordination, administrative support, business support or related experience preferred.
-Experience supporting business owners, executives, or leadership teams.
-Experience coordinating projects or working across multiple departments.
-Experience creating reports, trackers, SOPs, or internal systems.
-Basic marketing knowledge.
-Social media management experience.
-Familiarity with LinkedIn outreach and profile management.
-Experience using Canva.
-Experience using Adobe tools.
-Healthcare, home health, staffing, or therapy practice experience is a plus.
