JOB OVERVIEW

I'm a high-producing commercial real estate agent helping business owners buy, sell, and lease storefronts, warehouses, and offices. I need an Administrative Coordinator to keep transactions, marketing, research, and client communication organized so deals close on time.

What you'll do:

Move deals from listing to closing: track timelines, contingencies, and compliance docs
Prepare LOIs, PSAs, and lease paperwork
Coordinate with escrow, title, lenders, and attorneys, and keep clean digital files
Keep RealNex and KW Command updated and accurate
Run property searches for buyer/tenant clients and help prepare BOVs and comps
Coordinate marketing campaigns, help build offering memorandums and flyers
Manage my calendar, track deadlines, organize files in Google Drive
Use AI tools to speed up research, drafting, and daily work

Must-haves:

3+ years in admin or operations work
Experience supporting a US-based real estate agent
Real, verifiable commercial real estate experience (not just general exposure), including knowing property types, landlord vs. tenant rep, and what a lease comp actually is
Hands-on CRM experience
Proven experience using AI for automations, research, and drafting (this is a hard requirement)
Strong organization, time management, and written communication
Comfortable working independently with light supervision

Nice-to-have: transaction coordination experience, experience preparing a BOV or offering memorandum, familiarity with Crexi, CoStar, or LoopNet
