About the Role
We run a Non-Emergency Medical Transportation (NEMT) operation (~40 drivers across Arkansas and West Memphis, with a Tennessee expansion coming in about 60 days) and need a Dispatcher VA to cover our mid-shift — the critical window when our first dispatcher leaves for the day. You'll handle will-calls, B-legs, and drivers traveling from farther out, keeping things running smoothly through the handoff.
This is a heavily phone-facing role. You'll be on back-to-back inbound calls, coordinating routes and schedules in real time, often with hospitals and healthcare facilities on the line.
Core Responsibilities
Dispatch and coordinate routes for our NEMT operation via our TMS — assign jobs by zone, availability, and vehicle type
Handle back-to-back inbound phone calls for scheduling and coordination
Monitor job status in real time, log proof of delivery, and close out completed jobs
Immediately escalate failed pickups/deliveries, driver no-shows, or client complaints — do not wait
During downtime: support HR by pulling applications from Indeed and assisting with driver hiring, to keep our HR team from getting overloaded
Never activate a driver in the dispatch system without confirmed clearance — wait for explicit sign-off
Keep the TMS updated in real time; stale records cause client disputes
Must-Haves
Excellent, clear spoken English is non-negotiable. This is a heavily phone-facing role and we have had to let previous VAs go specifically due to communication issues on hospital calls.
Dispatching or scheduling experience preferred
Comfortable with RingCentral (our dialer), Google Workspace, and Microsoft 365
Reliable high-speed internet and a quiet, professional workspace for calls
