Position Summary
We are seeking an experienced and detail-oriented Construction Bookkeeper / Office Manager to oversee the company's financial and administrative operations. This role is responsible for managing day-to-day bookkeeping, construction accounting, compliance tracking, billing, and office administration. The ideal candidate will be highly organized, proactive, and capable of working independently in a fast-paced construction environment.
Key Responsibilities
Accounting & Financial Management
Manage all company bookkeeping functions using QuickBooks Online.
Process and maintain Accounts Payable (AP) and Accounts Receivable (AR).
Monitor customer accounts and perform collections activities as needed.
Reconcile bank and credit card accounts.
Prepare financial reports and assist with month-end and year-end closing processes.
Respond to bank, lender, and financial institution document requests.
Construction Accounting
Perform job costing and track project expenses.
Prepare and manage AIA billing and progress billings.
Track project budgets and cost allocations.
Manage lien waivers and related construction documentation.
Support project managers with financial reporting and project accounting needs.
Compliance & Contract Administration
Manage insurance compliance requirements for projects and subcontractors.
Request, review, and track Certificates of Insurance (COIs).
Ensure subcontractor compliance documentation is current and complete.
Maintain contract files and project-related administrative records.
Office Management & Administration
Oversee daily office operations and administrative functions.
Maintain organized financial and project records.
Coordinate communications with clients, subcontractors, vendors, lenders, and insurance providers.
Support company leadership with administrative and operational tasks.
Identify opportunities to improve processes and efficiency.
Qualifications
3+ years of bookkeeping experience, preferably within the construction industry.
Strong proficiency with QuickBooks Online.
Experience with AIA billing, job costing, and construction accounting practices.
Knowledge of Accounts Receivable, Accounts Payable, collections, and bank reconciliations.
Experience managing lien waivers, insurance compliance, and subcontractor documentation.
Strong understanding of construction administration processes.
Excellent organizational, communication, and time-management skills.
Ability to prioritize multiple tasks and meet deadlines.
Self-motivated, detail-oriented, and able to work independently with minimal supervision.
Preferred Qualifications
Experience working for a general contractor, subcontractor, or construction-related company.
Familiarity with construction contracts and project management workflows.
Advanced Microsoft Office skills, including Excel.
