We are a small, boutique family real estate brokerage with 2 agents. We are known in the community as the family brokerage that has amazing marketing and service.
Who We're Looking For
A sharp, self-directed VA with attention to detail who runs the marketing and operations behind a high-performing real estate practice. You own social media/design templates and you're comfortable moving between creative work and transaction operations without needing hand-holding. If you live in Canva and think in content calendars, keep reading. You MUST have a minimum of 2 years of real estate VA experience.
What You'll Own
Social Media
-Plan, schedule, and post daily content across Instagram,
-Assist agents with maintaining and executing a content calendar and social media tracker. Weekly reports to owner
-Draft captions, hashtag sets, and engagement copy on-brand
Canva Design (must be expert-level)
-Build listing graphics, Just Listed/Just Sold posts, Stories, carousels, flyers, and market-update templates
-Work fluently with Brand Kits — colors, fonts, logos — to keep every asset on-brand
-Create and maintain reusable templates so output stays fast and consistent
-Resize and repurpose single designs across multiple platform formats
-Order postcards and brochures from vendor websites
Transaction & Escrow Support
-Keep agents informed on buyer and seller escrows against milestone checklists (EMD, appraisal, contingency removals, final walkthrough, COE) and place important dates in google calendar
-Track BRBC and Listing Agreement expirations; prepare renewals and DocuSign requests
- Prepare CDA forms
Listing Management
- Create and maintain the new-listing Google folder; populate and organize all listing docs & prestaging, staged photos
- Build and run the prep schedule spreadsheet — handyman, painting, inspections, gardening, staging, cleaning, photography, videography — tracking each phase to "on track" or "complete"
- Coordinate vendors against the schedule (handyman, video, carpet, stagers, cleaners) and confirm scheduling/completion
- Track expense estimates and invoices per listing (hauling, repairs, painting, staging, inspections, etc.)
- Move expenses spreadsheets into the listing folder; keep them current
- Manage MLS status updates through the full lifecycle (Coming Soon ? Active ? Contingent/No Show ? Pending ? Closed)
- Enter listing and photos into MLS and have agent approve and make active.
- Coordinate sign install/removal and rider changes ("Sale Pending," "Remove Sign")
- Support "Coming Soon" and "Active" date planning against listing deadlines. Keep agents/clients informed.
- Facilitate open house scheduling and broker's tour logistics (we have a list of open house agents)
- Coordinate staging removal
CRM
- Keep the CRM (Sierra) updated: leads, deal stages, sources, past-client transitions
- Enter leads as needed
General Duties
- Send end-of-day updates
- Manage prioritized/labeled
- Update production and commission tracking spreadsheets
- Coordinate open house bookings and referral agreements
- Monitor google voice messages and respond with preplanned responses
- Monitor showingtime
Required Skills
Advanced Canva proficiency — Brand Kits, templates, multi-format resizing (non-negotiable)
Proven social media management for a brand or business, ideally real estate
Real estate transaction/escrow experience strongly preferred
Fluency with CRMs (Sierra a plus), Google Workspace, DocuSign
Strong written English for client-facing
Detail-obsessed on dates, deadlines, and compliance tracking
AI proficient
