JOB OVERVIEW

Ultra Labs is seeking a highly organized, detail-oriented Business Operations & Project Management to help manage and support our growing portfolio of media and technology businesses across Asia.

The ideal candidate is exceptionally organized, proactive, and capable of keeping multiple projects moving forward simultaneously. You will work closely with leadership, editorial teams, contractors, and external partners to ensure initiatives are executed efficiently, deadlines are met, and business operations run smoothly.

While editorial content will continue to be managed by our editorial leadership team, this role will focus heavily on project coordination, operational support, marketing execution, and business organization.

What You'll Do
_Coordinate and manage multiple projects, initiatives, and operational priorities across several businesses.
_Track deadlines, deliverables, and dependencies to ensure projects remain on schedule.
_Maintain project plans, documentation, SOPs, and operational processes.
_Coordinate communication between leadership, contractors, freelancers, vendors, and external partners.
_Support website-related projects, content publishing workflows, and business initiatives.
_Assist with marketing execution, including email campaigns, social media coordination, promotional activities, and campaign tracking.
_Monitor key business and marketing metrics and prepare regular performance reports.
_Research tools, vendors, partnerships, and growth opportunities as needed.
_Help streamline operations through process improvements, automation, and AI-powered productivity tools.
_Follow up on outstanding tasks and proactively remove roadblocks to keep projects moving forward.
_Support administrative and operational tasks that contribute to the growth of the business.

What We're Looking For
_Exceptional organizational skills and attention to detail.
_Strong project management and coordination experience.
_Highly proactive and accountable—you naturally take ownership and follow through.
_Excellent written and verbal communication skills.
_Ability to manage multiple projects simultaneously without losing track of details.
_Experience working with remote teams, contractors, and international stakeholders.
_Comfortable using project management tools such as ClickUp, Asana, ---------- , Trello, Jira, or similar platforms.
_Familiarity with digital marketing, social media, website management, or online publishing is a strong plus.
_Experience with AI tools (ChatGPT, Claude, Gemini, etc.) to improve productivity and workflows.
_Strong problem-solving skills and the ability to work independently with minimal supervision.
_3+ years of experience in project management, operations, business coordination, marketing coordination, or a similar role preferred.
