Can you take a problem you've never seen before and figure out how to solve it? That's the person we're looking for.
We manage a growing portfolio of long-term residential and commercial rental properties in Minnesota. We need a resourceful, organized operator to take ownership of day-to-day operations: someone who thinks a step ahead, closes the loop, and makes sure work moves from "reported" to "done" without being chased.
We care more about how you think than about your exact job history. Some of our best people have come from executive assistant, operations, and hospitality backgrounds, not just property management. If you're sharp, organized, and a fast learner, we'll teach you our systems. We are not looking for a simple task-doer; we want someone who can be given a problem, think through the steps needed to solve it, and come back with the resources and solutions to do so.
**Growth-Minded & Solutions-Focused:** We don't dwell on problems; we find solutions. We want people who are hungry to learn, grow, and improve our systems every day.
**Positive Energy:** Property management sometimes involves surprise challenges. Pipes burst, tenants stop paying. It is critical that we approach our work with a positive attitude. We value collaboration, open communication, and a "can-do" spirit.
**A Relationship, Not a Transaction:** We want a years-long partnership where you feel supported, trusted, and empowered to make decisions.
**Impact Over Activity:** We value outcomes. You won't be micromanaged; you will be given clear goals and the freedom to execute, along with the support to be able to succeed.
This role will be 40 hours per week, once fully trained. Your compensation will reflect your experience, initiative, growth, and contribution to the business's success.
**Schedule:** Starting schedule will be Sunday and Monday 9-5PM, Tuesday-Thursday 8AM-4PM US East Coast hours.
**What you'd own:**
**Operations (60%):**
The "Loop-Closer": When a task comes in, you manage the communication, the schedule, and the reporting in
Tenant communication, coordinating repairs and vendors, lease renewals and lease compliance, rent tracking and follow-up on outstanding balances, coordinating with housing assistance agencies, preparing eviction documentation when needed, move-in and move-out procedures and inspections, and keeping everything moving in
**Systems and finance (20%):** You are confident with numbers, bookkeeping software, and general bookkeeping. You coordinate with our accountant to ensure any questions they have are answered so our books stay accurate. You support the build of new systems and initiatives, as well as handling invoices, expense tracking, owner statements, paying invoices, updating tenant ledgers, and working within our financial SOPs.
**Communication (20%):** Warm, calm, and professional with tenants, contractors, and owners. You respond promptly, warmly, and correctly to tenant maintenance requests and contractor messages. You know how to present yourself in a warm, calm, professional manner no matter the situation, including when a conversation is difficult.
You'll thrive here if you're proactive and detail-oriented, comfortable making decisions without being micromanaged, hungry to learn, and looking for a long-term partnership rather than a transaction.
**Must have:** reliable high-speed internet with a backup connection, and comfort working US hours.
**ESSENTIAL REQUIREMENTS:**
3+ Years working in a US-Based Business with operations responsibility.
**Fluency in English:** Confident in multi-person meetings, initiating phone calls, and in non-scripted situations in English.
**The "Loop-Closer" DNA:** You live by the 24-hour no-update rule. If a project is open, you provide an update before we have to ask.
**Financial Rigor:** Proven experience with accounting or bookkeeping, ideally for rental properties.
**Highly Detail-Oriented and Organized:** Able to track tasks across multiple properties and follow up on outstanding issues. Skilled at prioritizing tasks based on urgency and importance.
You have a positive growth mindset.
**Strong communication skills:** you are a proactive communicator who doesn't wait to be asked for updates. You're eager to participate in ongoing discussions about improving communication protocols and systems, and receptive to feedback.
