JOB OVERVIEW

Hi,

We're Brew Methods, a Melbourne-based specialty coffee company looking for an experienced Finance Manager to build and manage our finance function from the ground up.

This role is only suitable for candidates with previous experience managing an Australian Shopify-based businesses. You must be comfortable working within Shopify, extracting and reconciling reports, understanding Shopify payouts, merchant fees, refunds, payment gateways, Shopify Capital, and ensuring GST is accurately recorded at the product level.

We currently do not have any accounting software in place. We're looking for someone to set up Xero from the ground up, integrate it with our Shopify store and business bank accounts, and then take ownership of our finance and bookkeeping processes on an ongoing basis.

Initially, this role will involve implementing Xero, connecting Shopify, our business bank accounts and payment providers, organising our financial records, establishing payroll and superannuation, and creating accurate financial systems from day one. Once everything is established, the role will become an ongoing position of approximately 8–12 hours per month, with opportunities to grow as the business expands.

Accuracy is extremely important to us. We sell a combination of GST-free and taxable products, so we require someone who can accurately reconcile Shopify sales at the product level—not simply record Shopify payouts into accounting software.

Key Responsibilities
Set up and configure Xero from the ground up.
Integrate Xero with Shopify, business bank accounts and payment providers.
Build and maintain accurate finance and bookkeeping processes.
Import and organise historical financial data where required.
Reconcile Shopify sales at the product level, ensuring GST-free and taxable products are recorded accurately.
Reconcile Shopify payouts, merchant fees, refunds, discounts, payment gateways and Shopify Capital repayments.
Perform weekly bookkeeping and bank reconciliations.
Manage Australian GST coding and prepare BAS working papers.
Set up and manage payroll for employees and directors.
Process PAYG withholding, superannuation and STP reporting.
Prepare financial reports for our Australian accountant.
Liaise directly with our accountant when required.
Organise receipts and invoices.
Provide simple monthly summaries showing profit, expenses, cash flow and GST obligations.
Continuously improve our finance systems and processes.

Requirements
Minimum 3 years' bookkeeping or finance experience.
Extensive experience working with Australian businesses.
Previous experience managing the finances of Australian Shopify-based businesses (essential).
Strong working knowledge of Shopify, including extracting financial reports, reconciling Shopify payouts, merchant fees, refunds, discounts, payment gateways and Shopify Capital.
Experience reconciling Shopify sales at the product level, ensuring GST-free and taxable products are accurately recorded.
Strong understanding of Australian GST, BAS preparation, PAYG withholding, superannuation and STP reporting.
Strong experience using Xero, including setting up new organisations from scratch.
Excellent written and spoken English.
Highly organised with exceptional attention to detail.
Able to explain financial matters in plain English.
Comfortable communicating directly with Australian accountants.
