What You Will Do:
Day to day, you will be the person who keeps our numbers straight.
Invoices come at us from every direction. Parts vendors, the auction, transport drivers, the reconditioning shop, the ad agency, the cleaning crew at the rentals. Your job is to catch every one of them, make sure the amount is actually right, and get it into QuickBooks the same week it comes in. Not three weeks later when nobody remembers what it was for.
On the dealership side, you will handle the vendor bills and keep our AP schedule current so we always know what is coming due. When an invoice does not match the purchase order, we want you to stop and ask, not just pay it. Small mistakes get expensive fast in this business.
On the service department side, you will handle billing on repair orders — customer pay, warranty, sublet work, and the internal jobs where we are fixing up our own inventory. Those internal ones need to be tracked separately because they hit the cost basis of the car, not the shop's revenue. If that sentence makes sense to you, you are the person we are looking for.
On the Airbnb side, you will reconcile the payouts. Airbnb sends us money net of their fees, so you will match each payout back to the bookings it came from, then account for cleaning, supplies, and repairs on each property so we can actually tell which units are making money and which ones are not.
Every month, you close the books and send us a clean package: P&L, balance sheet, AP aging, AR aging. Bank and credit card accounts reconciled. Nothing sitting in "Ask My Accountant."
Once a week, we get on a short call. You tell us where cash is, what is coming due, and anything that looked strange. You are not just entering data — you are the early warning system.
One more thing: we run two very different businesses out of one office. Keeping the dealership books and the rental books cleanly separated is a big part of this role. If they get tangled, tax season becomes a nightmare. We need someone who protects that line.
