About Sandalwood Mental Health

Sandalwood Mental Health is a growing outpatient psychiatric practice dedicated to providing compassionate, evidence-based mental health care through telehealth. Our providers specialize in general adult psychiatry, integrative psychiatry, and one of the nation's few specialty outpatient programs focused on individuals with intellectual and developmental disabilities (IDD) and co-occurring mental health conditions.

As we continue expanding into new states and developing partnerships with healthcare providers, community organizations, and insurance networks, we are seeking an organized, motivated, and dependable professional to join our remote administrative team.

Position Summary

The Growth & Partnerships Coordinator plays a key role in supporting the continued growth of Sandalwood Mental Health. This position focuses on developing referral relationships, coordinating marketing initiatives, conducting research, assisting with strategic business development projects, and ensuring important growth initiatives continue moving forward.

This is not a commission-based sales position. Instead, you will help connect healthcare providers, organizations, and patients with specialized psychiatric services while supporting a variety of administrative and operational projects.

This is a growth-oriented position. We are looking for someone who enjoys identifying opportunities, improving systems, building relationships, and helping our organization grow. Success is measured not simply by completing assigned tasks, but by consistently contributing ideas and executing initiatives that help expand our referral network, strengthen partnerships, improve marketing efforts, and support sustainable practice growth.

As a member of a small, collaborative team, this position will also occasionally provide operational support by backfilling other administrative staff during vacations, illnesses, periods of high call volume, or other staffing needs. This may include answering phones, scheduling appointments, responding to patient inquiries using approved workflows, or completing other administrative responsibilities. While these duties are not the primary focus of the position, flexibility and teamwork are essential.

Primary Responsibilities

Referral & Partnership Development
• Research physicians, therapists, psychologists, hospitals, case managers, community organizations, IDD service providers, and other referral sources.
• Research potential new markets and affiliated stakeholders.
• Develop and maintain referral databases and CRM records.
• Draft professional outreach emails, letters, and presentations.
• Coordinate and execute referral outreach campaigns.
• Schedule meetings, presentations, and follow-up communications.
• Track partnership opportunities and referral activities.
• Assist with networking initiatives and ongoing relationship development.
• Identify opportunities for new strategic partnerships.
• Maintain organized documentation of outreach efforts and outcomes.

Marketing Coordination
• Coordinate projects with Sandalwood's external marketing agency.
• Assist with website updates and provider biographies.
• Maintain Psychology Today and other provider directory profiles.
• Maintain social media posting schedules and content.
• Coordinate updates to Google Business Profiles when needed.
• Assist with newsletters and educational campaigns.
• Monitor online provider listings for accuracy and consistency.
• Assist with implementation of new marketing initiatives.

Utilize AI tools and other software to help create and manage:

Administrative & Team Support

As part of a collaborative team, this position may periodically provide operational coverage by:
• Answering incoming telephone calls.
• Scheduling and rescheduling patient appointments.
• Responding to patient inquiries using approved scripts and processes.

• Assisting with administrative projects.
• Supporting office staff during periods of increased workload or planned absences.

90-Day Introductory Period

Employment begins with a 90-day introductory period designed to ensure a successful transition for both you and Sandalwood Mental Health.

Formal reviews will occur at approximately 30, 60, and 90 days. During this period, you'll receive coaching, feedback, and progressively greater responsibility.

First 30 Days (subject to adjustment)
• Learn Sandalwood's services, providers, systems, workflows, and target referral markets.
• Complete onboarding and training.
• Become proficient with internal software and communication tools.
• Begin assisting with referral research and marketing coordination.

Days 31–60 (subject to adjustment)
• Independently manage assigned research and outreach projects.
• Begin executing referral development initiatives.
• Coordinate follow-up communications and partnership tracking.
• Assist with marketing campaigns and provider profile management.
• Demonstrate strong organization and ownership of assigned projects.

Days 61–90 (subject to adjustment)
• Independently manage assigned growth initiatives.
• Maintain organized referral and partnership pipelines.
• Demonstrate measurable contributions toward practice growth.
• Identify opportunities to improve referral development, marketing, workflows, or operational efficiency.
• Function as a trusted member of Sandalwood's administrative team.
